Crynodeb

We are looking to appoint a suitably skilled Reprographics Officer to provide high-quality reprographic, printing, and administrative support services to staff and departments across the school, ensuring timely and efficient delivery of materials that support teaching, learning, and school operations.

The successful candidate will carry out a comprehensive, professional and customer focused reprographics service, in addition to taking responsibility for carrying out administrative services to support the school.

The role is subject to satisfactory pre-employment checks and enhanced DBS check, and will commence as soon as possible.

Key Responsibilities:
Reprographics & Printing:
- Operate ICT facilities, photocopying, printing and binding machines, to collate and laminate multiple copies of documents, as requested by teachers, administrative staff and pupils.
- Produce booklets, worksheets, handouts, and posters in accordance with requests.
- Monitor and manage all print jobs to ensure timely completion and quality standards.
- Liaise with teaching and administrative staff to clarify print specifications and deadlines.
- Bind, laminate, trim, and collate documents as required.
- Retain a reference copy of key documents.

Resource Management:
- Maintain appropriate stock levels of paper, toner, and other materials.
- Order supplies in a cost-effective and timely manner.
- Keep accurate records of printing usage for departmental charging where applicable.
- Distribute stationery to staff and pupils in accordance with agreed procedures and guidelines and the collations of charges for departments to be provided to the Finance Department.

Maintenance & Troubleshooting:
- Conduct regular maintenance checks on reprographic equipment.
- Report machine problems to the IT Helpdesk who in turn report to the maintenance company and liaise with the maintenance company as required when they are on site..
- Keep the reprographics room clean, organised, and compliant with health and safety standards.

Administrative Support (as required):
- Assist with scanning, data entry, and document formatting.
- Support wider school administrative functions during busy periods.
- Assist with exam preparation materials and confidential printing needs.
- Additional requirements:
- Comply with all school policies and report and respond to any immediate problems or emergencies according to the school’s policies and procedures;
- Act in accordance with the school’s safeguarding and child protection policies;
- Undertake other reasonable duties (with competence and experience) as requested, in accordance with the changing needs of the organisation.
Complete an annual appraisal, training and ongoing CPD where appropriate.


Person Specification:
Essential:
- Strong IT skills, including Microsoft Office and PDF editing software.
- Excellent organizational and time-management skills.
- Attention to detail and ability to follow instructions precisely.
- Ability to manage workload independently, show initiative and meet deadlines.
- Good interpersonal skills and a helpful, service-oriented approach.
- Respect and maintain confidentiality.
- Level 2 or above in English and Maths (or equivalent).
Desirable:
- Experience using reprographic/printing equipment (e.g., photocopiers, printers, laminators).
- Experience working in a school or educational environment.
- Knowledge of safeguarding and data protection procedures.
- Familiarity with design software (e.g., Canva, Adobe Acrobat, Publisher).
- Familiarity with Google Drive and Google Workspace programmes


Contractual matters:
- Salary: £12.82 - £13.20 per hour depending on experience and skill set (actual salary £20,468 to £21,088 including holiday pay)
- Full-time, 37.5 hours per week, for term-time 35 weeks per year whilst the school is in session plus 3 weeks to be worked in the school holiday periods.
- 37.5 hours per week to be worked 8.30am-4.30pm. There is a 30 minute unpaid lunch break.
- Personal leave is to be taken in school holiday periods.
- Lunches (term-time only) are provided free of charge.
- Pension and life insurance is available for eligible employees
- No smoking or vaping on the School site
