We are looking for a good all-rounder who is dynamic, articulate, and confident to step into this combined role based in an office in central Edinburgh. Reporting directly to the Managing Director and the Director, but very much part of the wider team. The right person will be highly motivated, flexible, proactive, and confident in coordinating a wide range of activities as a personal assistant while also providing general office management at the main office.
Responsibilities include:
Implementing and maintaining office policies and administrative systems.
Organising meetings or events.
Liaising with contractors and employees at all levels, including senior management.
General Office duties such as handling correspondence, telephone calls, letters, and deliveries.
Ensuring that office supplies and resources are stocked and replenished.
Keeping records up to date with an efficient filing system.
Implementing health and safety procedures and overseeing office security and fire systems.
Recording office expenditure and managing the budget.
Providing Personal Assistance to the Managing Director and the Director, including:
scheduling appointments and organising diary entries;
making travel and hotel arrangements;
oversight of works to their home address in Edinburgh.
Skills Required:
Confidentiality: Handling sensitive information with discretion (signing an NDA is essential).
Strong Organisational and time management skills - ability to manage multiple tasks, prioritise effectively, and maintain organised systems.
Excellent written and verbal communication in English - crucial for interacting with various individuals and handling correspondence.
High level of emotional intelligence and confidence working with different nationalities.
Problem-Solving Abilities - Proactively addressing challenges and finding solutions
Adaptability and Flexibility - Adjusting to changing priorities and demands of the role.
Proficiency in Microsoft Office.
Ability to work under pressure - a driven, motivated attitude with the ability to use your initiative.
