We are looking for an Administrator to be an essential part of the Receptions Team.
The team provide the face-to-face front door service to several West Sussex County Council offices. Our reception service is responsible for greeting visitors and internal staff, responding to a range of general enquiries, and supporting with providing information and signposting.
Salary: £15,557 to £15,804 per annum (pro rata for part time)
Contract Type: Permanent
Working Pattern: Part-time (22.5 hours per week)
Location: County Hall North, Madeira Ave, Horsham RH12 1AB

The successful candidate will based at County Hall North, Horsham but you may be required to cover other WSCC office hubs including Crawley Library, Southgate Ave, Crawley RH10 6HG, County Hall, West Street, Chichester PO19 1RG and Durban House, Durban Rd, Bognor Regis PO22 9RE (once reopened).
You may need to be able to travel independently around the county, including to areas that may not be easily accessible by public transport. Pool cars and pool bikes are available.
About the Job
We are currently seeking to appoint a motivated and organised individual to join our busy Receptions Team. The ideal candidate will have excellent communication skills, maintain a friendly and positive attitude, demonstrate resilience and tenacity, and enjoy working as part of a team.
Reporting to a Team Leader, your role will be essential in supporting a range of administrative tasks to ensure the smooth operation of the Receptions Team.
These responsibilities include data entry, filing, organising meetings, and preparing agendas. Your attention to detail will be vital in updating spreadsheets, processing applications, and inputting data into council IT systems.
Additional duties may include, but are not limited to:
- Establishing and maintaining professional working relationships with the public and colleagues
- Providing timely and efficient administrative support
- Updating and maintaining relevant records accurately and appropriately
- Following established procedures to respond to queries independently
- Referencing complex queries to the appropriate personnel under guidance
- Handling confidential and sensitive information with care.

Required Qualifications and Skills
- 4 GCSEs with grades A-C / 4-9 passes, including Maths and English, or an equivalent qualification or experience demonstrating comparable numeracy and literacy skills.
- Relevant technical knowledge of procedures and practices essential to delivering a dedicated and efficient administrative service.
- Proven experience working in an office environment.
- Sound and accurate overall IT knowledge and experience in using Microsoft Office including Word, Excel and Teams.
- Strong verbal communication skills for effectively handling telephone inquiries and engaging with colleagues and customers in person and through virtual channels.
- Clear and professional written communication skills to accurately process information, compose non-standard correspondence under guidance, and respond appropriately to emails.
- Proficient numeracy skills to work with figures and data, ensuring accurate financial calculations and systematic data collection.
