We’re looking for a Workplace Coordinator to be the main point of contact between building users and IFM, ensuring seamless service delivery, exceptional customer experience, and strong client liaison across the estate.
Job Description
This is a fantastic opportunity to work in a brand-new business park with excellent transport links to Edinburgh and Glasgow, just a short walk from the office.
You’ll be part of a friendly, family-feel team, acting as the interface for employee and guest services, delivering day-to-day support while identifying opportunities to improve services.
Sharing best practices, learning from experience, and connecting the community with our services will be key to your success.
Key Responsibilities
Reception and front-of-house duties, including greeting visitors and handling enquiries.
Setting up and preparing meeting rooms for internal and external use.
Assisting with IT setups and troubleshooting basic technical issues.
Supporting the organisation and setup of events.
Managing bookings, schedules, and room allocations efficiently.
Providing administrative support and maintaining accurate records.
Ensuring a professional, welcoming, and organised environment at all times.
Professional and Personal Competencies/Qualifications
Previous management experience with proven leadership skills.
Knowledge of fire marshal procedures and health & safety compliance.
Strong customer service skills with experience handling diverse client needs.
IOSH or equivalent health and safety qualification.
Facilities management experience across multiple site types.
Ability to implement and maintain H&S policies and procedures.
Competent in overseeing teams and ensuring operational excellence.
