OPERATIONS LEAD Responsible to: Practice Manager Supporting the Practice Manager to ensure the smooth running of the Practice. Duties and Responsibilities: Human Resources - Organising and placing advertisements for recruitment. Distribution and collation of application forms and arranging interviews. Generate reply letters to all applicants. To be responsible for supporting annual performance appraisals for the Admin Team and follow up matters arising from the appraisals. To perform 8 weekly 1 to 1's with Admin staff and to perform 3 and 6 month reviews for new employees. Looking after the welfare of all admin staff. To manage the computerised appointment system, to ensure that all appointment screens for all the clinicians are entered onto the appointments system a minimum of one month in advance.To manage the diary for all clinicians holidays, meetings, etc and to make sure all the information is incorporated into the appointment schedules. To be the first line of contact for the patients with respect to the complaints procedure and to take appropriate action as set out in the Practices complaints procedure, with the support of the Practice Manager where appropriate. Manage room bookings diary to ensure that rooms are available for meetings, clinics etc. Organise any Locum cover needed for Doctors, nurses or administration teams. To manage the ordering of stationery and supplies and ensure effective stock control. Arrange for contractors to carry out any urgent / routine repairs needed to the building. To ensure regular checks are carried out on the fire alarm system. To assist when required with our EMIS system to add new patients, and the deduction of patients. To assist when required ensure the return of notes for patients who have left the practice. To manage the recording of patient attendances at the surgery, and production of audit reports on a regular basis, including patients who have failed to attend (DNAs). Contact Healthcare computing with any computer issues. To oversee the security and validation processes for the Clinical System. To provide support advice and training for current and new practice staff in the use of the clinical system. To provide first line technical support for IT, first line technical support may include such issues as: straightforward Windows configuration issues, issues with the EMIS clinical system, scanner & printer configuration queries, scanner & printer consumables stocking and installation. Quality: The post-holder will strive to maintain quality within the practice, and will alert other team members to issues of quality and risk assess own performance and take accountability for own actions, either directly or under supervision. Contribute to the effectiveness of the team by reflecting on own and team activities and making suggestions on ways to improve and enhance the teams, work effectively with individuals in other agencies to meet patients needs, manage own time, workload and resources. The post-holder should recognise the importance of effective communication within the team and will strive to: Communicate effectively with other team members, patients and carers. Recognise peoples needs for alternative methods of communication and respond accordingly. Contribution to the implementation of services: Apply practice policies, standards and guidance, discuss with other members of the team how the policies, standards and guidelines will affect own work, participate in audit where appropriate to oversee/ work with the team
