An exciting opportunity has arisen in our Admissions team for an enthusiastic Admissions coordinator.
Working within a newly restructured bookings team, the role will facilitate the delivery of timely, accurate admission bookings for Royal Marsden Patients. The successful candidate will be responsible for processing bookings from referrals for RMH surgical procedures, including booking appropriate pre-assessment appointments. Working across two sites in a busy and dynamic Hospital, with a base in the Sutton branch, this role will work as part of a small, dedicated admissions booking team, covering NHS and PP procedures. The coordinator role is integral to the effective provision of surgical and medical cancer treatment and previous bookings experience is desirable.
The Coordinator role is supported by a Team Leader and an Admissions Manager who work closely with you and the rest of the team to ensure a consistent and robust bookings service is maintained at all times. The coordinator role will be expected to facilitate a working environment which fosters effective and respectful working to support the overall performance of the unit. The role is required to participating in regular data collation and manage the timely rescheduling of last minute or urgent changes to patient bookings. In addition, you will be expected to participate in multidisciplinary trust meetings with the clinical teams to foster good working relations and provide excellent patient care.
• The post-holder will be the first point of contact for clinical teams in their request to secure an elective admission for patients. They will work with the clinical staff in Theatres, CCU and Admissions to ensure maximum patient numbers are not exceeded.
• The post-holder will demonstrate flexibility to meet the varied demands of the role, and use computer, keyboard and telephone skills to update data and inform patients appropriately.
• The post-holder will be able to work as required without close supervision and is accountable for ensuring that requests for surgical and medical admissions are processed accurately and efficiently. A Flexible approach must be exercised to ensure an efficient service Including appropriate prioritisation of duties. The post-holder will have good interpersonal/communicative skills and be able to show initiative in problem solving. They will have the ability to deal accurately with requests and orders, possess a good telephone manner and be confident in computer skills, including Microsoft word, excel, power point, Microsoft outlook and the internet search engines.

• To be the first point of contact for clinical teams to book elective admissions ensuring all relevant bookings for patients are co-ordinated effectively and efficiently. Check funding is in place for Private Patients.
• To ensure that admission referral forms are completed correctly and to advise referrer accordingly if further information is required.
• To be the first point of contact for elective patient enquiries regarding appointments and admissions and appropriately refer any clinical matters to the nursing staff in charge of Pre-Assessment. Patient enquiries will cover a variety of topics, from simple questions regarding appointment times, to complex requests for change in treatment plans. The admissions coordinator is responsible for triaging these enquiries and referring on to the clinical team as appropriate.
• Patient communication is a key part of this role, and all queries need to be managed in a sensitive and supportive manner. Adaptation of approach will be required and flexibility with the influencing and communication style to meet the needs of the patient and query. The admissions coordinator will deal with a breadth of queries and issues that will be required to prioritise effectively.
• To book elective patient admissions (inpatient, day case, medical, surgical, NHS and Private) on the system in line with the Admissions Team standard operating procedure.
• To contact the patient and book pre-admission appointments as necessary.
