We are recruiting for an Office Administrator and PA within our SHARE team, manage all office administration including finances and serve as PA to the SHARE Programme Manager and Director. This is a fixed-term appointment until 31 March 2026 with possibility of extension.

We are looking for someone who can be on the front line of SHARE, handling incoming calls and emails, undertaking all office administrative duties and assisting the Programme Manager and Director as required.

Based in Ninewells Hospital, one of Europe's largest teaching hospitals, the School of Medicine provides outstanding medical education and training supported by world class research facilities.

Your priorities will include:

  • Act as a point of contact for the SHARE Project with a wide range of internal and external individuals and organisations
  • Provide a professional service, including telephone calls, email messages, correspondence, mail outgoing/incoming, etc. in an appropriately structured and prioritised manner, including the preparation of acknowledgement responses and follow-on actions
  • Produce Wl's (Working Instructions) and SOP's (Standard Operating Procedure) documents which outline SHARE processes and ensuring that these are kept up to date at all times;
  • Organise meetings, collate papers and related briefing materials, prepare agendas and papers, organise catering if required, take minutes as required (including confidential meetings) and have a pro-active role in any follow-up actions from meetings and appointments etc.
  • Maintain diaries, prioritising appointments and ensuring that all relevant paperwork is available before each meeting

Who we're looking for:

  • HNC level in appropriate subject area or relevant work experience
  • Excellent communication and organisational skills
  • Experience of working in a Higher Education, NHS or similar demanding environment
  • Excellent keyboard skills, including Advanced level Word and Excel.
  • Strong liaison skills, with the ability to manage complex relationships with a wide range of individuals including senior staff) within the University
