Job Description Medical Secretary/Administrator Job Title: Medical Secretary/Administrator Responsible to: Practice Manager Job Purpose: To be a friendly and effective point of contact for our patients and to also provide secretarial and administrative support to the practice team. We are looking for a medical secretary/administrator to join our busy but friendly team. Ideally the successful candidate must have experience of general practice and/or of working in a busy administrative environment. We require someone who possess excellent interpersonal skills, confidence, self-motivation and conscientiousness yet is able to work under pressure. We care very much about our patients therefore we are looking for someone who has a passion to provide high quality patient service at all times. 30 hours per week (Times and days negotiable but will require 8am starts) Holidays: 25-33 days* plus bank holidays (*depending on prev. NHS employment) Duties and Responsibilities Telephone Duties 1. Making appointments and navigating patients to the most appropriate providers 2. Conveying messages both internal and external 3. Assisting with patient/visitor enquiries 4. Contacting other providers Secretarial Duties 5. Provide secretarial services (via the choose and book system) for the clinical team to facilitate NHS and private referrals. 6. Provide information to enable the clinicians to make informed decisions regarding appropriate care for patients. 7. Data entry of incoming correspondence onto patient records. 8. Scanning of external correspondence to the clinical system. 9. Ensure outstanding queries are explained and handed over to next shift, as necessary 10. Use of internal and external email connections to provide communication with other services. 11. Regularly update own knowledge of local Trust Consultants to ensure patients are directed appropriately. Administration Duties 12. To take a lead administrative role in GSF monitoring 13. Monitoring and processing of safeguarding documentation. 14. Summarising of patient notes onto the EMIS system. 15. To act as a backup to the reception team during busy periods. General 16. Observe health and safety guidelines and security at all times 17. Maintaining mandatory training/attending necessary training sessions 18. Maintain confidentiality of all data and information 19. Maintain professionalism of both self and practice at all times 20. Any other reasonable duties as necessary Person Specification Medical Secretary/Administrator Qualifications: Essential: Good standard of general education GCSE Mathematics C or above GCSE English C or above Desirable: AMSPAR certificate NVQII in Customer Care CLAIT/other IT Qualification Experience: Essential - Experience of working with the general public Experience in a secretarial role Experience of working within General Practice Skills: Essential: Excellent communication skills (Written and Oral) IT skills Clear, polite telephone manner Time Management and the ability to work to deadlines Problem solving skills Interpersonal skills Behaviours: Essential: Smart, polite and confident Planning and organising Performing under pressure Adaptability Using initiative Team working Self-motivated Flexibility Confidentiality Knowledge: Desirable: Knowledge of EMIS Job Types: Part-time, Permanent Pay: £14.28-£15.68 per hour based on experience.
