Academy Operations & Administration Coordinator



We are pleased to announce that we are currently looking for an Academy Operations & Administrator Co-Ordinator for our Training Academy in Knutsford. This role would suit an individual who is very proactive, enthusiastic and has a can-do attitude. In this pivotal role, you’ll ensure our Academy runs smoothly day-to-day, while supporting the apprenticeship journey from application to completion.



Responsibilities will include but not be limited to:

Coordinate internal apprenticeship application processing with the careers team.
Verify apprentice eligibility in line with DfE Apprenticeship Funding Rules.
Process apprentice applications through to the enrolment pipeline.
Oversee the Academy office environment, post handling, and supplies.
Manage the training room diary, training admin mailbox, and incoming queries.
Welcome and host visitors, ensuring a professional and friendly reception.
Liaise with maintenance providers and arrange office-related orders.
Provide direct support to Senior Management, including minute-taking and reporting.
Order and maintain stock of office and training materials.
File apprentice certificates into online evidence packs and arrange their posting.
Organise internal events, meetings, and catering requirements.
Represent the Academy with professionalism and positivity at all times.
Carry out general administrative duties as required.



Ideal applicants will possess:

Excellent organisational skills and telephone manner with the ability to work as part of a busy team as well as using your own initiative.
Excellent communication skills.
Self-motivated, calm and professional whilst working in a busy office environment.
Good ICT skills with working knowledge of Microsoft Office, particularly Excel.
Accuracy in updating records with tact, discretion, and respect for confidentiality (GDPR).
Experience working in apprenticeships and knowledge of the DfE apprenticeship funding rules is advantageous but not essential.
Full, clean driving license and use of a vehicle.
