Job objectives and responsibilities
The Portering Manager will be responsible for the efficient and safe management of all portering services within the hospital, with a primary focus on patient movement and waste management. This includes the coordination, supervision, and development of a large team of porters to ensure timely and compassionate transportation of patients, as well as the effective movement of equipment, specimens, waste, and supplies. The role is critical to supporting clinical services, enhancing patient experience, and maintaining the smooth operation of a busy healthcare facility operating 24/7.
· Key Responsibilities:
· Oversee and optimize patient transport services across the hospital, including admissions, discharges, transfers between wards, and movement to diagnostic departments (e.g., X-ray, MRI, physiotherapy, operating theatres).
Develop, implement, and monitor robust patient movement protocols and standard operating procedures (SOPs) to ensure safety, efficiency, and patient dignity.
· Ensure all patient movements are conducted with the utmost care, empathy, and adherence to manual handling guidelines and patient confidentiality.
· Manage the transportation of deceased patients to the mortuary, ensuring respect and adherence to established procedures.
· Coordinate urgent patient movements, including emergency responses (e.g., cardiac arrest calls, helipad transfers), ensuring rapid and effective deployment of resources.
· Maintain a fleet of appropriate and well-maintained patient transport equipment (wheelchairs, trolleys, beds), ensuring regular cleaning and servicing.
· Waste Management:
· Overseeing the safe, efficient, and compliant management of all waste streams generated within a healthcare facility. This includes general, recyclable, clinical, hazardous, and pharmaceutical waste, ensuring adherence to stringent legislation and promoting environmental sustainability.
· Collate statistics, analyse data, and prepare regular report for senior management on waste performance and compliance.
· Liaise daily with the client regarding waste services and any variation required.
· Conduct inspections and audits of waste transfer stations, wards and department, producing reports with identified remedial actions.
· Manage the 24/7 helpdesk operations.
Main duties
· Lead, recruit, train, appraise, and develop a large team of porters, fostering a culture of professionalism, teamwork, and patient-centred care.
· Manage staff rotas and shift patterns (days, evenings, nights, weekends, bank holidays) to ensure optimal staffing levels and service coverage across a 24/7 operation.
· Conduct regular performance reviews, identify training needs, and provide ongoing coaching and feedback to enhance team capabilities.
· Address performance issues, disciplinary matters, and grievances in line with hospital policies and HR guidelines.
· Promote a positive and inclusive working environment, recognizing and rewarding good performance.
· Operational Excellence & Logistics:
· Manage the centralized portering control room/system, ensuring effective task allocation, dispatch, and tracking of portering requests.
· Oversee the efficient movement of a wide range of items, including medical equipment, medical gases, clinical waste, general waste, specimens, blood products, pharmacy items, post, linen, and general supplies.
· Implement and monitor key performance indicators (KPIs) and service level agreements (SLAs) for all portering activities, reporting on performance to senior management.
· Ensure compliance with all relevant health and safety regulations, infection prevention and control policies, COSHH, and waste management legislation.
· Conduct regular audits of portering services, identifying areas for improvement and implementing corrective actions.
· Manage equipment maintenance schedules and ensure all equipment is in good working order and regularly cleaned.
Stakeholder Engagement & Communication:
· Liaise effectively with clinical staff, ward managers, department heads, and other support services (e.g., estates, security, cleaning) to ensure seamless service delivery and address specific requirements.
· Act as a primary point of contact for portering-related inquiries and complaints, resolving issues promptly and professionally.
· Communicate clearly and effectively with patients and visitors, providing reassurance and assistance as needed.
· Financial & Resource Management:
· Manage the portering departmental budget, controlling expenditure on staffing, equipment, and consumables.
· Identify opportunities for efficiency savings and process improvements within the portering service.
· Maintain accurate records and produce reports on departmental performance, resource utilization, and budget adherence.
· Oversee the day-to-day operations of waste segregation, collection, storage, and disposal across all hospital sites and departments.
· Manage and monitor waste management contracts with external providers, ensuring service level agreements are met and value for money is achieved.
· Address and resolve issues arising from waste contractors, including service failures and non-compliance.
· Programs manage waste-related projects, from inception to implementation, to enhance efficiencies and service delivery.

Person Specification
· Significant proven experience (typically 3-5+ years) in a management or supervisory role within a large-scale portering or logistics operation, preferably within a fast-paced hospital or healthcare environment.
· Demonstrable experience in managing and coordinating patient movement and transport services.
· Strong leadership and people management skills, with the ability to motivate, develop, and manage a diverse team.
· Excellent organizational, planning, and problem-solving abilities, with a proven track record of managing competing priorities and urgent demands.
· Solid understanding of health and safety regulations, manual handling techniques, infection prevention and control, and waste management in a healthcare setting.
· Strong communication and interpersonal skills, with the ability to interact effectively with staff at all levels, patients, and visitors with empathy and professionalism.
· Proficiency in IT systems, including Microsoft Office Suite and experience with task management/dispatch software.
· Ability to work flexibly, including participation in an on-call rota and covering various shifts as required in a 24/7 environment.
· Desirable:
· Relevant management qualification (e.g., ILM, CMI).
· Qualifications in health and safety (e.g., IOSH Managing Safely, NEBOSH).
· Strong knowledge of current waste management legislation and best practices (HTM 07-01).
· Experience with continuous improvement methodologies.
· Knowledge of specific NHS guidelines and standards related to portering, patient transport and waste management.
This is a highly demanding and visible role within the hospital. The Portering Manager will be required to be on their feet for extended periods, navigate busy hospital environments, and respond quickly to emergencies.
