Job Title: Travel Agency Administrator

Job Purpose:
The Travel Agency Administrator is responsible for ensuring the smooth day-to-day operations of the travel agency. This role involves administrative support, customer service, travel documentation, database management, and coordination between departments to enhance efficiency and customer satisfaction.

Key Responsibilities:
• Handle customer inquiries via phone, email, and in person.
• Support travel consultants by preparing quotes, itineraries, and travel documents.
• Manage client bookings, payments, invoicing, and refunds in agency systems.
• Maintain and update client databases, records, and CRM systems.
• Coordinate with travel service providers (airlines, hotels, tour operators) for bookings and confirmations.
• Process travel insurance, visas, and other documentation as required.
• Monitor office supplies and handle procurement of materials.
• Maintain and organize office files, reports, and administrative paperwork.
• Assist in marketing and promotional efforts (social media updates, newsletters, etc.).
• Handle basic accounting functions such as reconciling accounts and preparing financial reports (if required).
• Ensure compliance with travel industry regulations and internal policies.

Qualifications & Skills:
Essential:
• Proven experience in an administrative role (travel industry preferred). Desirable but not essential as full training will be provided.
• Strong organizational and multitasking skills.
• Excellent written and verbal communication.
• Proficiency in MS Office (Word, Excel, Outlook) and booking systems (e.g., Amadeus, Sabre, Galileo – if applicable).
• Attention to detail and high level of accuracy.
• Customer-service orientation with a professional attitude.
Desirable:
• Diploma or certification in Travel & Tourism, Business Administration, or a related field.
• Knowledge of global geography and travel destinations.
• Familiarity with CRM and travel management software.

• Office-based role with standard working hours.
• Occasional overtime during peak travel seasons or deadlines.
• May involve liaising across time zones with suppliers or clients.
