Document Controller / Document Control Administrator - Full-time, 6-month FTC (with possiblity of extension)

Telent's Network Services division, specifically the technology Programmes team, are on the lookout for a Document Controller. This is a "Maternity Cover" opportunity, that will see you cover a "6-month Fixed Term Contract", with the possibility of extension. The successful Document Controller will ideally be located within or commutable to the Midlands region, requiring attendance at the Warwick Head Office (CV34 5AH) at least 1 day per week for the first few weeks, with a blend of home working. Holder of a full UK driving license advantageous.

The role of Document Controller will support and coordinate the development, maintenance and submission of critical documentation required for the dedicated programme(s). Requiring high levels of attention to detail, the Document Controller will ensure that engineering documentation is accurate, compliant and correct before uploading it to a dedicated internal system. A background in Administration (Admin) or Coordination (Coordinator) would be hugely advantageous.

Document Controller - What you'll do:

  • Submission and receipt of documents in Company & Client's Document Management System (DMS).
  • Updating works information as per documented process and disseminate to team members.
  • Providing and recording access to communication platforms and maintaining applicable security measures.
  • Ensure accuracy of information added to DMS is in line with project requirements.
  • Reporting of issues related to documents, platforms access rights to DC manager.
  • Allocate document numbers and create metadata.
  • Implement and monitor DMS workflows to ensure version control at the point of use.
  • Control obsolete documents (superseded and cancelled).
  • Perform monthly DMS audit reports and other reports as required.
  • Liaise with Technical Author regarding workload.
  • Quality checking documents against project requirements.
  • Coordinating with other stakeholders to ensure documents submitted as per schedule.
  • Providing training on internal DMS and other communication platforms.
  • Act as point of contact for Telent on project and attend meetings.
  • Liaise with the Client's Document Control staff on any document control issues.

Document Controller - Who you are:

You are an experienced Administrator / Coordinator / Document Controller with strong attention to detail and proven skills in managing documentation within a project / programme environment. You are familiar with Document Management Systems, version control, and using reporting tools like Power BI or Oracle or similar. You are a proactive communicator and you work well with stakeholders to ensure accuracy and compliance. You're adaptable, organised, and motivated to support critical infrastructure programmes whilst contributing to a collaborative and inclusive team environment.

Document Controller - Key requirements:

  • Demonstrable Document Control / Document Management experience in a Project or Programme environment
  • Have a general understanding of Document Management Systems
  • Experience of Power BI or Oracle or other similar reporting tools
  • Experience of handling sensitive information
  • Full Right to Work in the UK required
  • Full UK driving license highly desirable
  • Commitment to attend the Warwick office (CV34 5AH) at least 1 day per week
