Job Description
PA to CEO / Pastor
Current Location: Pretoria Road Community Centre, Pretoria Road, N17 8DX
Managed by: Chief Executive/Pastor
Hours: 20 hours per week (Tues to Fri / 10am to 4pm - flexible)
Salary: 14k

Description
To provide high level confidential support to the Chief Executive of Grace Organisation who is also the Pastor of Grace Fellowship church providing comprehensive secretarial and administrative service. Ensuring efficient and effective administration and planning systems are in place and maintained.
Grace Organisation is faith-based and provides day care facilities for older/vulnerable adults. The postholder would need an aptitude to develop the faith-based aspect of the work.
Functions of the post
1. To act as a first point of contact dealing with correspondence and phone calls
2. To proactively manage and coordinate the diary of the Chief Executive / Pastor by prioritising and arranging internal and external meetings, ensuring appropriate briefing papers are prepared and provided.
3. Plan and organise travel and accommodation when required
4. Maintain effective filling and data storage including emails and retrieval systems ensuring the needs of the Chief executive are met.
5. To provide full personal assistant support by dealing with all correspondence and calls, drafting routine letters to a high standard, minute meetings, taking messages and other administrative tasks as required to support the Chief Executive.
6. To provide support for Trustee meetings by ensuring meetings are properly arranged and serviced. This will include drafting agendas, collating papers and reports, take minutes and follow up action points.
7. Supporting the Chief Executive / Pastor to keep the Trustees informed about the work of the organisation and their appropriate training and induction.
8. To service meetings of the organisation and church by drafting and collating papers and reports, preparing manageable agendas, taking minutes and following up on actions points.
9. Completing financial information on excel
10. Dealing with any complaints through the policy and procedures, monitoring and recording processes.
11. To plan and manage key organisational events such as meetings, events, AGM, Staff and church meetings
12. Develop skills and undertake responsibilities as appropriate which will fulfil the purpose of the role and support the success of the organisation.
13. Ensure that work is carried out in accordance with Grace’s values, equality aims, policies and procedures.
14. Participate and contribute to organisational/team meetings as required.
15. To ensure the needs of the client group are met and that the service provided is of the highest standard in a safe and welcoming atmosphere.
16. Develop format for monitoring KPIs
17. Provide reports for trustees, leadership and church meetings
18. Working on specific projects, carrying out background research and presenting findings
19. Producing documents, briefing papers, reports and presentations
20. Organizing and attending meetings and ensuring the CEO / Pastor is well prepared for meetings
21. Liaising with clients, suppliers and other staff.
22. To undertake any other duties as required.
