The Nuclear Medicine Administrator Lead at Chelsea and Westminster Hospital NHS Foundation Trust is entrusted with a variety of critical tasks that ensure the seamless operation of the Nuclear Medicine department. This position not only demands excellent administrative skills but also a deep understanding of healthcare operations, particularly within a specialized medical field. The role spans several key areas: Data Management: Record Keeping:Ensure that all patient data is accurately recorded on hospital systems such as Soliton and Cerner EPR. This includes the management of patient clerking forms and updating the clinical diary with correct patient information. Referral Handling:Manage and upload patient referrals onto hospital systems as applicable, ensuring that all data is current and properly organized. Clinical Support: Appointment Scheduling:Book and ensure the smooth running of clinics while liaising with consultants and specialty coordinators. This involves rescheduling appointments for various Nuclear Medicine scans and managing waiting lists to ensure patients are seen within specified time frames. Patient Communication:Inform patients about protocols regarding various scan types and manage communication regarding appointment details and preparations. Inventory and Stock Management: Supplies Coordination:Manage inventory and ensure the availability of necessary supplies and materials for the department. This includes monitoring stock levels, ordering inventory, and pre-planning radiopharmacy orders to ensure timely and efficient service delivery. Supplier Liaison:Coordinate with suppliers to maintain optimal stock levels and avoid shortages. Administrative Support: General Office Tasks:Monitor and order office stationery, type and send letters and general correspondence, and handle department post and operate office equipment. Communication Management:Manage the departments shared email inbox, respond to inquiries, and forward requests to relevant professionals. Answer the telephone promptly and courteously, relaying patient information professionally. Team Coordination and Leadership: Staff Coordination:Provide leadership and support across the administrative team, ensuring interchangeability with other Band 4 staff members. Cover duties during absences or annual leave and provide reception cover when required. Private Patient Coordination: Service Integration:Maintain effective communication with the Private Diagnostics and Private Patients team to ensure seamless coordination of services. This includes managing patient inquiries, scheduling appointments, and facilitating the flow of information between departments.
