The post holder will carry out a range of specific activities in the support of Outpatients Clinics, Day Cases, and other ad-hoc within the Sexual Health & HIV administration services providing an efficient administrative and clerical support service in line with service requirements, working alongside a dedicated Admin clerk to provide a service to the Consultant and Nursing teams.

The post holder may also be required to assist with providing a quality reception service for all users of the Outpatient based services both on and off-site of the Trust.

To work as part of a team alongside other clerical staff within the department and to be part of a wider multidisciplinary team delivering a high-quality service to other staff and patients. This includes working with identified external contacts and stakeholders. To provide a high-quality reception and administrative service for the Sexual Health Community Services area and to ensure appointments are made in line with Trust policies, guidelines, and departmental protocols. Retrieve and process mail, incoming and outgoing telephone calls in accordance with Trust Policies. Gain the knowledge in the event of the hospital system failure the relevant disaster recovery procedure is followed. Accurately input, retrieve, and collate information using departmental and Trust computer systems in a timely way being mindful of data protection at all times.Respond promptly and efficiently to routine queries referring queries on to other personnel as appropriate.

North Mid is part of North Central London integrated care system – consisting of the NHS and Local authority organisations in Camden, Islington, Barnet, Enfield and Haringey. As with other ICS’s, we are working increasingly closely with partners and indeed many of our financial and performance objectives are measured at this system level. Whilst all organisations remain as standalone, statutory bodies we have an ICS infrastructure for making shared decisions and agreeing shared approaches.

Arrive/book in patients when they attend for their appointment.To undertake clerical support e.g. filing, photocopying, typing and retrieval of documentation in line with Trust and departmental procedures.To ensure all Health and Safety guidelines are followed and equipment is used according to instruction. Any potential hazards and accidents to be reported and recorded promptly in line with Trust policies and procedures.To ensure that confidentiality is strictly adhered to in line with legislation and Trust policies and procedures.To report any service or performance shortfalls to the Service Manager and work as part of the team in order to address and resolve any issues. Using the hospital PAS system (Lilie, Climate and Careflow to ensure that all data is correctly recorded).Ensure that all printed clinic and appointment letters are completed accurately, with any noted errors escalated to the Team Leader – Clinics Management. Assist the relevant Patient Pathway Officer with ensuring all notes and diagnostic results are available for each patient at the beginning of the clinic session.
