The Sycamore Church of England Trust are seeking to appoint a proactive and highly organised senior administrator to be responsible for undertaking administrative, financial, organisational processes at Christ Church CE Primary School, Walshaw.

As the Senior School Administrator, you will support various business projects, demonstrating the drive and initiative needed to complete varied and complex tasks. You will be at the core of the school office operations, working closely with the Head of School and the Central Services Team to support all functions, including Finance, HR, Teaching and Learning, and Operations. Your role will be crucial in prioritising tasks, meeting deadlines, ensuring compliance, and managing multiple workstreams in a fast-paced environment.

Roles & Responsibilities

Duties will be varied, overseeing the breadth of work undertaken by the school office as needs demand.

  • To manage the administrative functions of the school
  • To be responsible for the systems and general management of the school’s administrative and financial computer network
  • To provide for the preparation and production of all school records and publications.
  • Supervise, train, and develop administrative staff as appropriate.
  • Organise the administration of school trips, events, and visitors.
  • Undertake all reception duties
  • Undertake pupil and staff first aid/welfare duties including liaising with parents/staff in accordance with school procedure.
  • Provide and organise general clerical support.
  • Maintain all manual and computerised records and returns.
  • Undertake the production of letters, reports and schedules as requested.
  • Sorting and distributing mail.
  • Analyse and evaluate data/information and produce reports/information/data as required.
  • Maintain and collate pupil reports and returns including Census information and any that are routinely required by the school, Trust, LA and DfE.
  • Collate registers and the completion of various returns as required.
  • Use ICT packages e.g. excel, databases, spreadsheets, internet, MIS systems.
  • Maintain stock and supplies, cataloguing and distributing as required.
  • Support the Educational Visits Coordinator and be responsible for up-to-date risk assessments.
  • Operate uniform/snack or other school ‘shops’ within school.
  • Provide general advice and guidance to staff, pupils, and others on administrative matters.
  • Under the direction of the Headteacher, organise supply cover.
  • Be responsible for completing all checks for new staff and ensuring all forms are completed sent to correct departments.
  • Liaise with contract staff as required.
  • Appreciate and support the role of other professionals.
  • Contribute to the school ethos, aims and the school improvement plan.
  • Attend and participate in regular meetings.
  • Be responsible for the maintenance of the Single Central Record, liaising with the Head of School on record keeping.
  • Be aware of the main health and safety issues specific to school and how they relate to students, staff, visitors, and contractors.
  • Provide administrative and organisational support to the governance of the school.
  • Participate in training and other learning activities and performance development as required.
  • Recognise own strengths and areas of expertise and use these to support and advise others.
  • Be aware of and comply with policies and procedures relating to Child Protection, health, safety and security, confidentiality, and data protection, reporting all concerns to an appropriate person.
  • Undertake general financial administration e.g. processing orders, preparing statements for individual budget holders.
  • Undertake work associated with the preparation of the Annual Budget under direction of the leadership team.
  • Monitor all accounting procedures and resolve any problems, including:
    • Ordering, processing and payment of all goods and services provided to the school.
    • Operation of bank accounts, ensuring that a full reconciliation is undertaken at least once per month.
    • Maintaining the assets and contracts register.
    • Preparation of invoices and collection of fees and other dues.
  • Alert the Head of School to any concerns through monthly monitoring systems.
  • Be responsible for the security of monies according to policies.
  • Be responsible for the preparation, updating and monitoring of staffing and budget information ensuring that the relevant staff are notified of changes and concerns.
  • Participate with procurement and sponsorship and with the promotion and marketing of the school as part of a team.
  • Manage/undertake the book-keeping of any school funds and secure monies in accordance with procedures.
  • Collect and accurately record all money for school trips, events and visitors and balance to appropriate lists.
  • Collect, accurately record, and balance dinner and milk money.
  • Follow any other job-related instructions and to perform any other job-related duties requested by their manager.
  • Control of Resources
    • Office equipment; photocopier, computer, fax
    • Manage and monitor all stock, e.g. uniform, stationery and ‘shops in the school’ items.
    • Maintain stationery, materials and general office supplies.
