About us
Community Counselling CIC was founded in 2018 by the Managing Director, Rhonda Lovell, as a community interest company, with the express purpose of offering free and/or affordable family and therapeutic services to adults, children and families who live in Wellington and the surrounding area who would not otherwise be able to afford this type of help and support.

Since then, we have extended our support to more areas in Somerset, and in 2024, we changed our name to Community Counselling CIC to better reflect the many areas we now serve. Currently our team is made up of 13 counsellors (qualified and trainees), Practice Manager and Clinical Lead.

We are a friendly and professional counselling service committed to removing the barriers to equal access to mental health support. We provide counselling that is affordable and available when and where it is needed, making wellness possible for everyone, wherever they are.

About the Role
The role of Central Administrator is to be both the front of house at our flagship counselling centre in Wellington and also to have responsibility for a range of administrative duties to support our other locations and Practice Manager and Clinical Lead.

About You
You are a skilled administrator who is motivated by the opportunity to be part of a growing organisation and excited about learning and developing your own skills as part of our journey. Your ability to have a comprehensive overview of the organisation and participate in conversations about how to deliver our mission and vision would be welcome. Duties:
The central administrator will be based at our Wellington Counselling Centre and will offer administrative support to our other locations.

Key responsibilities include:
• To recruit, coordinate and provide direct supervisory support to a team of administrative volunteers.
• Providing administrative support to the Management Team, including communications and correspondence, arranging meetings and supporting recruitment and training processes.
• Providing support to the counselling team ensuring the coordination of room bookings and resources, communicating upcoming training and taking payments following appointments.
• Providing a point of contact (reception) for clients, answering telephone and email/social media enquiries, taking messages and processing incoming referrals.
• Coordinate use of the facilities and generate and coordinate groups and courses within the Wellington Counselling Centre or other external venues (as required).
• Undertake marketing activities including coordinating news from the counselling team and other external sources and posting to our social media/websites and sending email communications.
• Participate in monthly line management meetings and undertake training and CPD as this arises.
• To uphold confidentiality and GDPR requirements at all times.
• To act as fire marshal and support the Practice Manager to undertake Health and Safety Risk Assessments as required.
• Respond to other necessary requirements of the postholder as they arise.

Requirements:
• Professional qualifications in business administration or willingness to work towards these.
• Proficient in the use of Microsoft 365 and Office including Word, Excel, Access and Teams.
• Proficient in the use of online secure CRM systems.
• Ability to produce a range of documents, reports and promotional material.
• A good understanding of posting to social media platforms in a business context, including creating and managing posts.
• Ability to coordinate a range of resources and diary keeping including room allocations and timetabling.
• Hold a first aid at work qualification or be willing to undertake this training.
• Excellent communications skills in all formats.
• High levels of accuracy and attention to detail in literacy and numeracy.
• Ability to manage competing demands.
• Ability to work as part of a team and good communication skills.
• Understanding of data privacy and confidentiality, especially when dealing with client and staff information.
• Previous experience of working in a counselling or similar health/social care setting is desirable but not essential.

This role is exempt from the Rehabilitation of Offenders Act 1974. Applicants are required to disclose all spent and unspent convictions, cautions, reprimands, and final warnings. A DBS check will be required as part of the recruitment process. The employer will assess the relevance of any disclosed information to the role and will discuss any disclosures with the applicant before a final decision is made.
