About the role:

Supporting successful change, by overseeing the administrative needs of the changes, projects and portfolio to support overall governance, whilst ensuring that all improvement initiatives and portfolio projects follow the agreed delivery framework, policies and practices.

Manage the project portfolio, by ensuring governance standards are met, project finances are being tracked effectively, escalations are clear, risks are being managed at a project and portfolio level, and supporting artefacts are in place.
Support the transparency of the change roadmap, by managing (and updating weekly) RFC and project status by milestone in CITB’s relevant change tracking tools
Act as the source of documentation, guidance and metrics for CITB against the portfolio
Regularly assess, and report to Head of Change and Technology, project adherence to governance and stage gates
Support in effective budget tracking against project and portfolio
Ensure decisions and actions from governance boards are captured and communicated effectively
Ensure consistent progress reporting including but not limited to, status updates, progression, risks, issues and escalations, to People and Skills Work stream and Change Board
Support in administrative duties to ensure requisitioning, purchasing, invoice management, and the GRN process, are operated effectively against projects and IT operational spend
Support Finance team in any investigation relating to the receipt of project invoices
Support Contracts & Commissioning team in analysing committed spend with suppliers and addressing any potential overspend or payment queries
Essential:

Proven Project Support or Coordinator experience and knowledge of project process
Understanding of the principles and frameworks of successful change and project management from a support perspective and an understanding of standard project life cycle stages and stage gate principles of project delivery
Excellent oral and written communication skills as well as excellent presentation skills with ability to conduct presentations comfortably to large groups
Proven experience of using Microsoft Office including spreadsheets, databases, document management and communication applications
Highly/Self-motivated and positive attitude towards work
Experience of working with Risks, Issues and Governance
Desirable

Experience of Oracle Purchase Order processing
Strong interpersonal skills, capable of collaborating across various teams and disciplines
Strong capability for problem solving, decision making, sound judgement, assertiveness
Knowledge of MS Project and SharePoint
Knowledge of PowerBI
PRINCE2, MSP or P30 qualified
