General Responsibilities:

Project Coordination: Assist in the planning, execution, and monitoring of projects, ensuring they are completed on time and within scope. Processing customer information on a regular basis and assisting with CRM related projects.

Administrative Support: Provide administrative assistance to project teams, including scheduling meetings, managing documentation, and handling correspondence. Understanding of Sales/Opportunity Management process and policies preferred; the ability to follow and apply sales processes, particularly our complex approval processes, is a core competency of the role.

Client Communication: Act as a liaison between the company and clients, providing updates on project progress and addressing client inquiries.

Reporting: Generate and distribute project status reports and updates to internal teams and clients. Timely reports/dashboards to stakeholders.

Risk Assessment: Evaluate project risks and develop risk mitigation strategies to ensure successful project outcomes. Ensure all the audit actions are executed on priority and right controls established and no repeat fallouts.

Documentation Management: Maintain comprehensive project documentation like SP reports, control approvals, working with invoicing team, including project plans, budgets, and deliverables.

Meeting Facilitation: Facilitate project meetings, record minutes, and follow up on action items. Partner with GDS Ops BMC team to deliver engaging, relevant, and timely WES program/initiative content for people across our various channels.

Continuous Improvement: Maintain a great ongoing relationship with current partners and offer new ways to grow the partnership. Identify opportunities for process improvement and optimization in project coordination and administration.

Marketing Strategy: Develop and execute comprehensive marketing strategies that align with company objectives and drive brand recognition. Planning, execution, and monitoring of email marketing campaigns across different event categories. Plan marketing and promotions in coordination with the digital and marketing team.

Lead Generation: Develop and implement lead generation strategies to attract clients and top talent. Managing media partner campaigns and exploring new avenues for partnership.

Branding: Ensure consistent branding and messaging across all marketing materials and platforms.

Analytics and Reporting: Monitor and analyze marketing performance metrics to measure the effectiveness of marketing campaigns and make data-driven decisions.

Competitor Analysis: Conduct competitor analysis to identify trends and opportunities in the resourcing market.

Client Engagement: Collaborate with the sales team to nurture client relationships and gather feedback for marketing improvement.

Budget Management: Manage the marketing budget effectively, optimizing resource allocation for maximum impact.

Project Management: Oversee technical projects from inception to completion, ensuring alignment with client objectives, budget, and timelines.

Solution Design: Design technical solutions to address client requirements, ensuring feasibility, efficiency, and scalability.

Cross-Functional Collaboration: Collaborate with internal teams, including software developers and engineers, to deliver integrated technical solutions.

Process Optimization: Continuously improve production processes for enhanced efficiency, cost effectiveness, and quality. Timely Pay-outs to contracted partners along with Record Retention and process documentation.

Production Monitoring: Monitor production processes, identifying and resolving issues to minimize downtime and production delays.

Resource Allocation: Manage resources, including personnel and equipment, to meet production demands and project goals.

Supplier Collaboration: Collaborate with suppliers to ensure the timely delivery of materials and components required for production.

Data Analysis: Analyze production data to identify trends, areas for improvement, and opportunities for cost reduction. Work with RPA team and automate the payment/audit process and reduce /eliminate manual interface.

Knowledge and Skills Required

Proven experience in project coordination or administrative roles, preferably in IT or aerospace.
Strong organizational, time management, and multitasking skills.
Effective communication and interpersonal abilities.
Proficiency in project management software is advantageous.
Qualifications

Bachelor’s Degree in business management and administration, Project Management, or a related field.
