We're recruiting for a Ward Clerk to provide administrative support for our multi-disciplinary team on Kingfisher Ward at Littlemore Mental Health Centre in Oxford.
Kingfisher is one of our low secure women’s ward at Thames House. This is a 16 bedded forensic unit for women with a diagnosis of mental illness and/or personality disorder. Many of our service users have had experience of the criminal justice system in the past.
You'll be managing correspondence, maintaining records, coordinating meetings, and be the first point of contact for internal and external queries. Your excellent organisational and communication skills will be essential in managing office systems, handling patient information confidentially, and ensuring all documentation is up to date. You will also be involved in ordering supplies, arranging transport, and assisting with staffing coordination.

This role includes an RSU allowance of £1,446 per annum on top of your salary
Main duties of the jobIn this varied role, you will work closely with clinical teams, liaising with healthcare professionals, social services, and external agencies to support the delivery of high-quality care.
Main duties include:
- Managing the Office Area
- Keeping the ward office organised and tidy
- Sorting and distributing ward mail and ensuring correspondence from the unit is appropriately signed and posted.
- Performing secretarial tasks to include typing, as agreed with the Business and Performance Manager/Ward Manager.
- Co-ordinating the ward diary and room booking.
- Organising and attending meetings and producing minutes
- Supporting the nursing team in co-ordinating CPA and other clinical meetings.
- Answering telephone calls, recording messages and taking follow up action either personally or by ensuring that they are dealt with by the appropriate people.
- Making telephone calls and arranging appointments at the request of nursing staff.
- Arranging transport for clients/staff.
- Organising bank staff at the request of the Business and Performance
Manager. - Liaise with other Clinical Team members, GP's, Social Services, Voluntary Agencies, the Care Group, other Trust departments and general hospitals.
