Leadership Duties To function as focal point of communication between the secretarial/Administration team and other members of the primary health care team. Oversee the administrative functions of the practice, ensuring efficient and effective operations. Provide leadership and support to administrative staff, as with all members of the wider practice team, fostering a collaborative and productive working environment. Develop and implement administrative processes to optimise workflow and improve efficiency. Co-ordinate leave, ensuring that sufficient secretarial and administration support is in place. To be responsible for appraising and managing secretarial and administration staff. To be responsible for the day-to-day management of the secretarial and administration team and associated functions ensuring they are conducted in accordance with agreed procedures, protocols and timescales Responsible for the various claims to improve practice finance such as CQRS, PPA claims, ICB claims. Communicate effectively with staff, patients, and external partners, maintaining a professional and approachable demeanour. Secretarial & Administration Duties Type medical and insurance reports Use of Practice IT systems Maintain knowledge of use of the relevant office equipment such as photocopying machine, audio dictating equipment, fax machine etc. Update links from local Health Authority and check if appropriate Coding of medical records as instructed by GPs Manage any queries/errors that arise from patient records Maintain referral statistics. (i.e. 2ww) Liaise with hospital departments with reference to referrals, admissions etc. Handle sensitive and confidential information with discretion and professionalism. Type correspondence and referral letters. Take part in suitable training courses as necessary to facilitate your role as agreed with your team leader. Work independently, demonstrating initiative and critical thinking skills to address challenges and achieve objectives. Prioritise tasks effectively, managing time and resources to meet deadlines and practice goals. Perform any additional relevant duties to maintain the efficient running of the administration office and the practice as agreed with your team leader.
