About the Role
We’re looking for a motivated and detail-oriented Weddings & Events Coordinator to join our growing team at a beautifully revitalised venue with a rich history of celebrations and special occasions. This is an exciting opportunity to be part of a venue entering a new chapter, where your passion for hospitality and coordination will play a key role in delivering exceptional guest experiences.
As a coordinator, you'll support clients from their initial enquiry through to the successful delivery of their event. From weddings to conferences and private functions, you’ll help ensure every detail is thoughtfully planned and flawlessly executed.
Key Responsibilities
Support the Events & Wedding Manager with day-to-day administrative tasks such as preparing schedules, inputting bookings, and updating client files;
Assist in conducting venue show rounds and providing helpful information to prospective clients;
Help prepare event documents, floorplans, and setup instructions for internal teams.
Coordinate with internal departments (e.g. housekeeping, catering, front of house) to communicate event details and ensure readiness;
Be present on event days to assist with set-up, including preparing decorations, signage, seating plans, and venue layout, greeting suppliers, and responding to guest or team needs;
Support with venue setup, general cleaning, and resetting of event spaces before and after functions, and assist the Front of House team during events by welcoming guests, helping with timings, and ensuring smooth flow throughout the event;
Act as a friendly and helpful point of contact for clients on the day of their event, escalating issues to the Manager when needed;
Track inventory and supplies, ensuring equipment, decorations, and materials are prepared in advance;
Maintain accurate records using our event management systems and support the team with invoices, deposits, and contracts when required;
Attend regular team meetings and contribute to improving systems and guest experience;
Carry out any other tasks requested by the Events & Wedding Manager to ensure successful event delivery;
What We’re Looking For
Previous experience in an events, hospitality, or customer service role (wedding or hotel venue experience preferred).
Excellent verbal and written communication skills.
Highly organised and able to manage multiple tasks and timelines.
Confident using event management software and Google doc, forms and drive.
Able to remain calm under pressure and respond to last-minute changes or challenges.
Willing to work flexibly—including weekends, evenings, and bank holidays.
A team player with a hands-on approach and keen attention to detail.
Access to reliable transport to and from the venue.
Preferred Skills
Knowledge of the wedding and events industry and current trends.
Strong problem-solving and time-management abilities.
Experience dealing with clients and suppliers in a professional setting.
Friendly, confident, and proactive attitude.
