The position holder,a member of the locally engaged staff(non diplomatic) provides administrative support to the First Secretary- Political & Administration by ensuring there is efficient functioning of the High Commission's office operations in accordance with relevant policies, regulations and instructions issued by the Ministry of Foreign Affairs & International Cooperation of Zambia.
Duties:
Assists the First Secretary (Political & Administration) in the smooth running of the administration office and chancery by performing various administrative tasks which include the following and any additional duties as assigned:
-Processing of invoices and raising payments for Mission utility and other bills.
-Assist with fuel and stores reconciliations including inventory control at the Chancery and Mission residential properties.
-Handle general administrative tasks such as data entry, filing, and document preparation.
-Assist in liaising with external service providers and vendors to ensure office supplies are stocked.
-Assisting in sourcing of contractors to carry out maintenance and repairs of Mission assets
-Liaising with contractors and service providers for works at the chancery and Mission residences.
-Assisting in sourcing of quotations for procurement of goods and services
-Assist in organizing and coordinating official functions and events
*Should have a minimum of five GCSE's including English Language at grade 4 (C) or above, an advanced certificate or diploma in a business related field is an added advantage.**
