Based in St Mellons, Cardiff an opportunity has arisen for a Compliance & Governance Administrator too work within the Compliance and Governance Team.Salary - £28,353Location - St Mellons, CardiffHours - Monday - Friday 9am - 5pm working 4 days per week in the office with 1 day working from home once probation has been completed.ObjectivesProvide high level functions & support to the Compliance Team - Compliance Managers, its Head and Director & a wider corporate function.To make a significant contribution to the achievement of the group’s key quality objectives by providing a high standard of support, direction and outputs to all areas of the business, ensuring that clear, accurate and relevant support and information is available on a timely basis.To maintain a professional service and presentation at all times in communications.Work collaboratively with other colleagues across the organisation to ensure that Shaw healthcare can achieve its vision, mission and strategy.Undertake appropriate training as requested by the Head of Compliance & Governance and be committed to own continuous professional development.Carry out any other reasonable duties as requested by the Head of Compliance & Governance, undertaking such other duties that occasionally fall within the purpose of the post.Maintain high levels of discretion and confidentiality at all times.General ManagementCollation, formatting, distribution and reporting of the Compliance Audit programme.Archiving - arrange for archiving to be recalled when needed.Attend for the purpose of meetings organiser and minute taking at both the Compliance Team Meetings, Policy Review Group and Health & Safety Meetings.Practice ExpectationsAs directed by Head of Compliance & Governance & Director of Compliance and Governance: to undertake administrative duties to the Compliance Team.To assist in preparing all submissions to CQC, CIW, HIS & Care Inspectorate Scotland and ensure central verification of the following:Registrations of Homes, Managers and VariationsFormal response to Inspection reportsAll formal correspondence with any of these bodiesSubmission of notifications via the portals, including reporting & recording.Provider Information Returns, Annual Returns and equivalent.General administration, correspondence, liaison with internal and external clients and regulatory and statutory bodies.Maintenance of Statutory Notifications spread-sheet.To identify correspondence of an urgent or sensitive nature and ensure it is brought quickly to the attention of the appropriate person.To fulfil role of central complaints administrator - and all tasks associated with this role.Fulfil role of Scottish Social Services Counter signatory & Social Care Wales Counter signatory.Any other administrative duties as instructed.To work within Shaw systems (including but not limited to) Service Improvement Plans, Audit system, Incident Management System, My. Shaw portal, G drive.General administration, correspondence, liaison with internal and external clients and regulatory and statutory bodies.Ensure all spreadsheets are maintained and updated regularly & accurately.Ensure all English services remain compliant with NHS Capacity tracker submissions.Assist with the collation of surveys.To draft & review any formal correspondence.Any other administrative duties as instructed.Essential CriteriaComputer expertise and knowledge of the Shaw healthcare IT systems.Excellent administrative and communication skills. The ability to complete top quality reports, letters, spreadsheet etc.Ability to manage self, and work as part of a team.Good experience in providing head office support and function.Needs to have a positive, honest, open and constructive approach when assisting and working with colleagues.To collect evidence in an objective and in a measured and non-prejudiced manner in order to assist Quality Directorate colleagues to make informed decisions and judgments about the quality of care and service provision.
