Our Admin Coordinator provides administrative support to assist with the co-ordination, production, reporting and maintenance of
the Department’s activity, material and information and provide administrative assistance to aid delivery of wider work of the
Research Department. This role will require the post holder to attend BACP House in Lutterworth regularly, for team meetings,
events and as required.
Principal accountabilities:
* To provide effective administrative support to the Head of Research, Senior Research Administrator and all researchers in the
team with activity related to research projects (internal and external), knowledge exchange and activity to support BACP
departments, and member engagement activities, recognising the geographically dispersed/remote working nature of the team and
supporting this appropriately.
* Supporting the Senior Research Administrator to compile quarterly metrics reports, compiling relevant information and details
to include logging publications and research presentations by team members and other activity as appropriate.
* Undertaking administrative tasks associated with the smooth running of the annual research conference, (including tasks
relating to the peer review process and outcome, as well as programme preparation and liaison with presenters), administering
BACP research grants, PhD studentships and bursaries, plus tasks associated with contracts, invoices and purchasing, as
allocated by the Head of Research and Senior Research Administrator.
* Liaising with team members and external contacts to organise meeting dates relating to collaborative projects, regular team
meetings, research committee/research thinktank, CPR editorial board, Grants Peer Review Panel, data and surveys group and
others as allocated; administering meetings by preparing agendas, taking notes/minutes and recording actions.
* Maintain the Department’s electronic filing and management of documents, ensuring the shared-drives, Sharepoint pages and
online research resources remain up to date and well maintained; administer a brought-forward system to ensure that future work
is addressed, including deletion of relevant documents and data, liaising with team members to ensure that appropriate
retention periods are adhered to.
* To support the wider Research team with general administrative tasks, including but not limited to: arranging travel and
accommodation; raising purchase orders and tracking invoices; undertaking transcription of audio recorded confidential research
interviews or focus groups.
* To co-ordinate member and other enquiries received into the department, ensuring enquiries are handled efficiently and in a
timely manner. Processing requests for and updating the research noticeboard; running the PhD fee waiver scheme; supporting the
PGR and postdoctoral forums; admin tasks associated with practice research networks.
Knowledge & experience:
* Ability to communicate confidently with internal and external stakeholders at all levels.
* Experience of providing effective administrative support to a geographically dispersed/remote working team.
* Excellent planning and organisational skills, demonstrating an ability to work on own initiative, to organise and prioritise
workload while adhering to agreed deadlines and responding to changing priorities.
* Experience of Office 365, databases and web content editing software such as Umbraco
* Have a flexible approach to supporting multiple members of the team with ad hoc tasks.
* Committed to delivering high quality customer service.
* Good understanding of confidentiality, data protection and handling of sensitive data.
* Desirable: Transcription skills and experience of transcribing confidential research interviews/focus groups from audio
recordings.
* Desirable: knowledge/experience of working within a research department, such as within Higher Education.
