Summary

The applicant will support with coordination of the day-to-day operations of the VBLF and WATM at the Minories Art Gallery building, 74 High Street Colchester.

The role is varied and includes both front-of-house and back-of-house responsibilities.

Front of House
- You will be a key holder and open and close the gallery.
- You will act as the first point of contact for visitors entering the gallery on the front desk.
- You will use our sumup point of sale system to sell items from our shop and support with admin associated with the shop.
- You will field enquiries through email, phone or in person and either reply, or make sure they reach the correct member of staff.
- You will set up for venue hire bookings and tidy away afterwards.
Programme Support
- You will support the Director in programming and delivering exhibitions, including liaising with artists, booking technicians, ordering materials and organising printing.
- You will support the Director in managing the operations and administration associated with our charitable projects.
- You will coordinate the operations associated with our programmed events, including ticket sales, coordinating the volunteer and staff rota, and room setup and takedown.

Administration
- You will undertake administrative tasks associated with the volunteer team, including processing volunteer applications, delivering inductions and liaising with volunteers to ensure that there is adequate cover for gallery during opening hours and for special events.
- You will collate visitor number data and enter into our spreadsheet.
- You will collate evaluation data and enter into spreadsheets on the Google Drive.
- You will process incoming invoices and send them to our accountant for payment.
- You will contribute to reports and proposals for the board, and our charities’ annual reports.
- You will contribute to funding applications written by the Director and other staff.
- You will support the Director with the administration associated with the Friends of the Minories scheme.

Digital Marketing
- You will update our website.
- Along with other staff, you will ensure that social media is kept lively and informative, including moderating and replying to feedback from the public. This will include content creation.
- You will create newsletters using mailchimp to send out to our mailing lists.

Other responsibilities
- You will follow health and safety regulations, ensuring that the building is compliant with legislation and is safe to operate.
- You will follow safeguarding guidelines and deliver a safe environment for creative effective work.
- Any other duties as required by the organisation.
- You will take responsibility for your own ongoing professional development, identifying areas you would benefit from training on and identifying and discussing training opportunities with your line manager.
