Are you someone that can manage several conflicting priorities at any one time?
If so, we are looking for a highly motivated Personal Assistant to support up to three Deputy Directors in the Portfolio & Project Delivery directorate (PPDD).
The directorate supports delivery of DfT’s large and complex portfolio of capital infrastructure and transformation projects, focusing on themes such as improving portfolio management, making DfT a ‘better informed’ project client and sponsor, ensuring roles and responsibilities in delivery of projects are clear, promoting the right behaviours and culture, and building project management and engineering capacity and capabilities within the department.

We are seeking an enthusiastic, high performing individual to take on the role of Personal Assistant supporting up to three Deputy Directors (DDs). You will play an important role in ensuring they are effective and efficient in delivering their roles, communicate effectively with their team and helping them to meet our departmental priorities.
The role provides a varied and challenging workload, supporting with managing diaries and meetings, responding to emails and highlighting and supporting the delivery of urgent business needs. You will join a fast-paced environment and gain invaluable insight into how a large government department operates, where you’ll have the opportunity to build effective relationships with senior management and a wide range of internal and external stakeholders.
Your responsibilities will include, but aren’t limited to:
- Horizon scanning and looking ahead to anticipate requirements and workloads, remaining aware of changing priorities on issues they manage and enabling them to deliver the full range of their duties with maximum impact and resilience.
- Monitoring inboxes, flagging actions and deadlines and commissioning information from others as required.
- Balancing conflicting appointments and delegating meetings where possible or necessary.
- Identifying opportunities, clashes and any preparation time required.
- Coordinating meetings including recurring meetings and all logistics such as room bookings and travel.
- Proactively identifying relevant papers and advice in advance of meetings and commissioning briefings where required.
- Building strong relationships within the Director’s Office, with the Director and Deputy Directors and the Director General’s office and wider Directorate. Be an active member of the PA Network.
- Treating sensitive and personal information with discretion and ensuring it is carefully managed.
