Job objectives and responsibilities
-Quoted works administration role, as part of thriving FM contract management team at Manchester Airport, with quoted works revenue doubling over the last two years.
-Focus on administration of quoted works, including preparing quotations for issue, updating the quote register, raising POs and chasing up start/completion dates.
-Coordinating subcontractor visits and associated permit to work requirements
-Supporting with preparation of CDM files and documents.
Main duties
-Working as part of an administration works team, this role has particular focus on the administration of quoted works, preparing quotations for issue, raising POs to subcontractors,chasing up start/completion dates, update of client quote register, querying costs with subcontractors and general support to the quoted works management team.
-This role will involve coordinating subcontractor visits, including booking parking, preparing and submitting airside passes and ensuring the correct permit to work is in place before works proceed.
-Supporting the quoted works management team with the preparation of CDM files and documents.
-Helpdesk: support helpdesk with reactive/planned work order management where necessary to cover holidays and busy periods.
-Actively review open quoted works to ensure completion within contract SLA/KPI timeframes.
-Collation of documentation to support the application for payment.
-Support with the Issue of quotations for remedial works and projects on site & obtaining quotes from suppliers
-Assist with pulling documentation and data together to support monthly invoicing
-Raising /Approval of SAP purchase orders/invoices
-General filing of documents & printing/collating
-Any other duties as required by the Account Manager
Person Specification
-Ideally already have experience in a similar facilities management role, helpdesk or contract admin.
-Well organised, methodical and practical approach
-Self motivated, with a can do attitude.
-Team player willing to work with others and do whatever it takes to deliver performance.
-Excellent IT & communication skills essential
-Polite telephone manner.
-Good Microsoft Excel skills would be beneficial to the role
