Who we’re Seeking: Applicants with secretarial experience to join our busy admin team in providing a comprehensive secretarial service to Medical Consultants and their clinical teams, supporting the growing demand for provision of care within the Perinatal Mental Health Team. This team provides mental health support for antenatal and postnatal women across Coventry & Warwickshire.
We’re looking for someone who is friendly and approachable with excellent communication skills, who can build working relationships and promote change and efficiency. As well as being a team player, you’ll need to work autonomously and promote a flexible approach and strong work ethic in order to prioritise, multi-task, and delegate workloads.

The Job Role: As Medical Secretary, you will act as one of the first points of contact for the service, being required to exercise judgement and resolve problems using initiative, and to work unsupervised on a day-to-day basis to meet deadlines. You’ll manage a range of duties, organise workloads, including diary management, and respond to enquiries both internal and external to the organisation. The role will also provide typing support to the Consultants and their teams (digital dictation and other methods), Attention to detail is essential.
This role includes a requirement to supervise and co-ordinate Band 2/3 administrative staff functions and to support the Senior Admin Lead in providing a comprehensive and efficient service.
As a single point of entry service, you will help to manage and co-ordinate referrals from the admin inbox. There will be a requirement to attend Multi-Disciplinary Team meetings and generate outcomes from this meeting in a timely manner.

Skills and Experience: Your skills will include the ability to priorities, co-ordinate, and delegate your workload and that of other team members. Experience of supervising staff is desirable, as is carrying out appraisals, sickness meetings, etc. Knowledge and experience of Microsoft Office systems is essential whilst training will be provided for in-house systems such as Carenotes, Tracking, etc.
The role is predominantly based on site, however, we can support some home working on a flexible rota basis (likely one day per week) in line with service needs, for which equipment will be provided. Home Wi-Fi network will be required with a confidential space to work in.
