Summary
Main duties
·
Providing administrative support across each area of
the operations team
·
Learning each area of the operations desk
Customer Success administration
·
Assist with the management of incoming customer
communication through mailbox and phone system
·
Promote value through customer experience, ensuring
customers are satisfied through after-sales care and customer feedback
·
CRM updating including Contacts, persons and people
flags, building jobs.
·
Raise customer complaints and concerns and actively
seek to improve the customer experience
·
Ensure customer experiences highest level of
customer service and detail
·
Maintain
a professional and courteous manner with clients, exceeding expectation
Estimate coordination
·
Convert engineer worksheets into estimates for
clients according to specification
·
Provide estimation of works to a variety of clients covering
the full range of maintenance tasks in commercial and industrial buildings
·
Be responsible for producing and submitting estimates
to our clients via email and client portals
·
Liaise with internal teams to coordinate data and
submission deadlines
·
Liaising with our supply chain partners to source
required materials and/or subcontracted services
·
Provide support and input to the chasing of and
follow up of estimates with customers and updating stakeholders as required
·
Monitor progress of estimates from initial request
through to submission
·
Scheduling
·
Assist the Schedulers with planning and managing the
work of engineers so that
works are completed to the best standard and on time, in compliance with
company procedures and within required timescales
·
Raise
purchase orders for equipment in line with Company Procedures
·
Administration
duties including ordering of materials from our approved supply chain.
·
Monitoring
of department inbox to ensure flow of communication across operational
services
·
Monitoring
of live tasks and system specific job notes

·
You will
be expected to carry out any other duties that may reasonably be required in
line with your main duties

with current data protection legislation and at all times respect the
confidentiality of information, in particular personal information, in line
with the requirements of GDPR

Comply
with Sherwoods Health, Safety and Environment Policy, uphold duty of care to
self and others at all times, acknowledge and advise on RAMs prior to
commencing works and co-operate with the Company to ensure compliance in all
areas of responsibility

Adhere
to all Company policies, procedures, operating instructions and codes of
practice on business ethics
·
Report
near misses and accidents promptly to your line leader.
·
Inform
your line leader about slip and trip risks you cannot resolve yourself.
·
Keep
your place of work clear of obstacles to reduce tripping risks.
·
Request
your employer to mark slopes or changes in floor levels for visibility.
·
Report
inadequate lighting to ensure a well-lit, safer working environment.
·
Follow
all safety advice provided by line leaders & H&S lead.
Training
You will attend Exeter College one day a week (during term time) working towards your Level 3 Business Administrator apprenticeship.
Qualifications required
·
GCSE Maths
and English at grade C/4 (or equivalent)
Skills required
·
Good
working knowledge of IT systems
·
Demonstrate
an ability to ensure confidentiality
·
Attention
to detail and high level of accuracy
·
Good
planning and organisational skills
·
Good written and oral communication skills
