To provide high-quality customer service and administrative support to members of the public, colleagues, and partner organisations. The role involves responding to enquiries across various channels (phone, email, face-to-face), resolving issues efficiently, and ensuring accurate records and documentation.
Key Responsibilities:
Customer Service:
Respond to customer enquiries via telephone, email, web chat, and in person in a timely and professional manner.
Provide accurate advice, guidance, and information in line with current policies, procedures, and service standards.
Handle queries and complaints sensitively and escalate where necessary.
Record all customer interactions and outcomes accurately using the appropriate systems.
Administrative Support:
Perform general clerical duties including data entry, filing, photocopying, scanning, and document processing.
Maintain and update customer records and databases, ensuring information is accurate and up to date.
Process forms, applications, or requests in accordance with organisational procedures.
Support other teams with administrative tasks as required.
Systems & Processes:
Use IT systems effectively to input and retrieve data, log customer contact, and generate correspondence.
Follow established processes and contribute to the improvement of administrative and customer service workflows.
Maintain confidentiality and comply with data protection regulations (GDPR).
Team & Communication:
Work collaboratively with colleagues to ensure a seamless customer experience.
Participate in team meetings, briefings, and training sessions.
Promote a positive image of the organisation through professional communication and behaviour.
