PURPOSE OF THE JOB
Bro Gwydyr is a vibrant and busy Ministry Area within the Diocese of Bangor. This role supports the administrative and communications work of the Ministry Area, helping to ensure smooth day-to-day functioning and effective coordination across churches.
The post holder will support the Vicar, Wardens, and MAC in secretarial duties, diary management, internal and external communications, and practical tasks such as bookings and publicity. They will be a first point of contact for the public and provide a reliable, approachable and organised service.
Working 10 hours per week, the role allows flexible scheduling but will require some presence at the Betws-y-Coed office and attendance at evening MAC meetings.
MAIN DUTIES AND ACCOUNTABILITIES
1. MAC & Governance Administration
• Act as MAC Secretary, preparing and circulating agendas and minutes.
• Co-ordinate and contribute to the preparation of the Annual Report and Annual Returns.
• Maintain and update the Electoral Roll.
• Support grant and faculty applications where required.
2. Office & Administrative Support
• Provide secretarial and clerical support to the Vicar and Ministry Area Wardens.
• Draft and format documents, reports, minutes, emails, and other correspondence.
• Maintain filing systems, both digital and paper.
• Undertake photocopying, printing, and document distribution.
• Collate and place central orders for altar supplies (wine, candles, bread etc).
• Assist with the collation of service materials for festivals and Sunday services.
3. Public Communication & Promotion
• Act as a point of contact for public enquiries via phone and email.
• Ensure events and services are advertised across notice boards, digital platforms, and social media.
• Update the Ministry Area website and notice boards.
• Design, produce, and distribute promotional materials and weekly notices (digital and printed).
• Liaise with community users and church members with professionalism and courtesy.
4. Bookings & Hall Management
• Manage bookings for St Mary’s Church Hall and other churches as needed.
• Maintain booking records, issue invoices, track payments and bank income.
• Provide hall information to hirers and assist them if necessary.
• Keep booking diary and hall documentation up to date.
5. Scheduling & Diary Management
• Maintain the Ministry Area diary including:
o Service rotas,
o Synod and diocesan dates,
o Training and MAC meetings.
• Schedule meetings and liaise with stakeholders as required.
6. Compliance & Training
• Keep up to date with Church in Wales policies on safeguarding, risk assessments, GDPR, and Welsh language.
• Attend training as required to fulfil the role.
