JOB PURPOSE:
To provide administrative and coordination support to the Property Project team and wider teams, ensuring the smooth delivery of refurbishment, maintenance and development projects for growth and refurbishment plans. This role involves managing project documentation, tracking timelines and budgets, requisitions of materials, liaising with contractors and internal stakeholders and maintaining accurate records to support efficient project execution and compliance.
KEY RESPONSIBILITIES:
To fulfil all requisitions for the in-house shopfitting team, including all materials, furniture & store set up goods.
Arranging deliveries of goods and materials in line with the refit schedule.
Keeping a database of all materials in storage and updating it when used and replenished.
Arranging hotels for the project team, ensuring they are within the set budgets as per the company's expenses policy.
To support the Head of Property Maintenance and Projects on the administration of refits, new sites, and relocations. Including completing schedules, O&M manuals, and booking subcontractors.
Complete in liaison with the Head of Property Maintenance and Projects and Site Manager, a risk register for each site.
Collaborate with internal teams to ensure that all projects are communicated effectively and to the appropriate stakeholders.
Work closely with the finance team to ensure that project budgets are communicated and understood by both departments.
Ensure local authority business rates and valuation office databases are kept up to date.
ESSENTIAL REQUIREMENTS:
Confident and effective communicator across all methods (email, telephone, chat, face to face)
Highly organised and able to multitask, prioritise workloads and meet deadlines in fast paced environment.
Proactive, adaptable and comfortable dealing with change using your own initiative
Excellent IT skills in Google Suite, Excel, Word and PowerPoint
