Role Overview
We’re seeking an organised and customer-focused Service Administrator to act as the central point of contact between customers, technicians and management. You’ll manage bookings, maintain our digital workshop system, process invoices and ensure every customer enjoys a seamless, professional experience from arrival to collection.

Key Responsibilities
Appointment Management: Schedule and confirm service, repair and MOT bookings via telephone, email and online portals.

Reception Duties: Greet customers, record vehicle details, capture initial service requirements and handle enquiries.

Digital Workshop System: Enter and update job cards, track progress, assign work to technicians and monitor throughput.

Customer Communication: Provide timely status updates, obtain authorizations for additional work and resolve routine queries.

Invoice & Payment Processing: Generate, verify and send invoices; process payments; liaise with accounts for outstanding balances.

Record Keeping: Maintain accurate customer and vehicle records, warranty information and service histories.

Supplier Liaison: Order parts and supplies; track deliveries; resolve discrepancies.

Quality Assurance: Follow up post-service feedback, escalate any issues and ensure continuous improvement of customer satisfaction.

Person Specification
Essential:
Proven experience in automotive reception or service administration
Excellent verbal and written communication skills
Strong organisational and time-management abilities
Customer-focused with a professional manner
Proficient in Microsoft Office (Word, Excel, Outlook)

Desirable:
Knowledge of workshop management software
Basic accounting or invoicing experience
Familiarity with automotive parts ordering processes
GCSE Maths and English (or equivalent)
