Facilities Coordinator
Main Duties
-Demonstrate a clear understanding of the operational and contractual objectives and SLA requirements of Mitie and our Contracts
-To liaise with FM's, School Business Managers, SPV's and sub contractors to ensure any requests for additional works, ANOC's, variations and such are completed within the contractual time frames.
-Ensure timely input and output of all associated data onto the relevant portal's / Sharepoint sites.
-Raise the necessary Purchase Orders for all approved works
-Ensure the end to end process for works is complete from receiving requests, quoting, works complete through to sign off and invoicing ensuring that the accrued income is maintained at an acceptable level.
-To liaise with contractors/ supervisors and managers to ensure planned work is completed in compliance with SLA requirements.
-Ensure any follow-on works identified by the Engineering Team are highlighted to the FM
-Liaise with the relevant manager for the preparation of month end reporting. Provide the necessary information and input to substantiate requests for payment for all non service fee elements of the invoice
-Assist with audit preparation when required.
-Ensure that all relevant documentation is provided by contractors including RAMS etc and issues to the FM's to review and sign off
-Ensure Contractor insurance documentation and training records are up to date
-Provide excellent customer service (internal and external), escalating service issues to the relevant manager where appropriate.
-Support manager with administration support
-Maintain and prepare the Lifecycle application for payment
-Comply with all Health & Safety Requirements

-Good planning and organisational skills and can maintain confidentiality across the site while respecting the needs of all stakeholders.
-Ability to prioritise tasks due ensuring compliance with contractual timescales
-Flexible and enthusiastic with a desire to provide excellent customer service with a can do attitude
-Experience within a PFI environment and a willingness to embrace the contractual requirements
-Team player who is also able to work alone and prioritise their own workload
-Attention to detail providing correct information first time
-Good Communicator
-Commercially astute
