We are seeking a highly motivated and detail-oriented Executive Support Assistant - S02 to join our dynamic team. This role is essential in providing comprehensive administrative support to executives and ensuring that their daily operations run smoothly and efficiently. The ideal candidate will be an organized, proactive, and resourceful individual who can anticipate the needs of executives and manage various tasks simultaneously. As an Executive Support Assistant, you will play a pivotal role in maintaining the executive's schedule, organizing travel arrangements, and coordinating meetings, all while serving as a key point of contact for both internal and external stakeholders. This position requires exceptional communication skills and discretion, as you will handle sensitive information and represent the executive in various capacities. Responsibilities
Manage executives' calendars, scheduling appointments and meetings while ensuring efficient use of time.
Coordinate travel arrangements, including flights, accommodations, and itineraries for domestic and international trips.
Prepare and distribute meeting agendas, take minutes, and follow up on action items to ensure timely completion.
Handle correspondence and communication on behalf of the executives, filtering requests and prioritizing messages as necessary.
Organize and maintain filing systems for documents and records to facilitate easy retrieval and compliance requirements.
Assist with the preparation of reports, presentations, and other documents as required by the executives.
Act as a liaison between executives and other staff members, fostering effective communication and collaboration across departments.
Requirements
Proven experience as an executive assistant or in a similar administrative role, preferably supporting senior management.
Exceptional organizational skills with the ability to manage multiple tasks and projects simultaneously under tight deadlines.
Strong written and verbal communication skills, with a professional demeanor when interacting with stakeholders at all levels.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management software.
Demonstrated ability to exercise discretion and confidentiality when dealing with sensitive information.
A proactive and problem-solving attitude, with a keen attention to detail and a commitment to excellence.
Bachelor's degree preferred or equivalent work experience in a corporate environment.
