Contract: 2 months

Location: Greenwich, London SE15 6HQ



Please note: The first four weeks will be office based to complete training. It will then be two days in the office and three working at home.

THIS IS AN ADMINISTRATION ROLE


Our client is seeking a highly skilled and experienced Administrator to provide essential administrative support to frontline staff, ensuring the smooth and efficient running of daily operations.
About the Role:In this pivotal position, you will take the lead in the administration of data quality assurance and performance reporting, playing a key role in driving continuous service improvement through insightful analysis. You’ll also be responsible for supporting key business functions by maintaining efficient systems and ensuring the accurate management of financial data.


Responsibilities, Administrative and Frontline Support


Provide high-quality administrative support to frontline staff, ensuring smooth and efficient operations.


Serve as the first point of contact via telephone, email, or face-to-face, dealing sensitively and appropriately with all enquiries.


Offer advice and guidance, signpost to appropriate resources, and liaise with internal/external professionals when required.


Manage meeting coordination, including diary management, invitations, venues, and documentation distribution.


Take accurate minutes at meetings and ensure timely dissemination of records.


Data Quality and Performance Monitoring



Lead the tracking, collection, collation, and analysis of service data, ensuring accuracy and consistency.


Interpret and present data outputs to inform decision-making and improve service delivery.


Input, maintain, and interrogate user data systems to ensure integrity and completeness of records.


Prepare and deliver detailed, complex reports and performance dashboards to management and stakeholders.


Take ownership of follow-up actions resulting from data reviews and audits.



Financial Processes and Management


Responsible for complex financial calculations and accurate processing of payments, including petty cash, placements, and agency invoices.


Create and manage purchase orders aligned with user records.


Run and analyse financial reports; investigate and resolve any anomalies or discrepancies.


Support delegated budget monitoring and perform related accounting tasks (e.g., allowances, transactions).


Assist in setting up bank accounts for service users.



Quality Assurance and Case Management


Support case audits, data quality assessments, and ongoing quality assurance activities.


Maintain and develop information systems for secure file storage, retrieval, archiving, and data transfer.


Produce statistical data to evaluate and enhance data quality and inform broader service improvements.


Participate in team meetings to provide data-driven insights such as caseload summaries and review updates.


Ensure data handling complies with the Data Protection Act and local procedures.




Essential Requirements:


Strong analytical and numerical skills with proven experience in data analysis and reporting.


High level of accuracy and attention to detail, particularly in financial processes.

Experience of Minute Taking

Excellent IT skills including proficiency in MS Excel, databases, and data presentation tools.


Effective communication skills, both written and verbal.


Ability to manage competing priorities and meet deadlines.


Experience working in a team and independently with minimal supervision.


Understanding of data protection legislation and confidentiality requirements.



Desirable


Previous experience in a quality assurance or business support role within a public service or social care setting.


Familiarity with case management systems and financial tracking tools.


This role may require occasional travel.
