The Workplace Facilities Assistant plays a key role in maintaining the seamless operation and administration of the workplace environment on the client account.
Central to this position is the enhancement of back-office efficiency while ensuring a welcoming and supportive experience for both employees and guests.
The role works collaboratively with multiple teams to uphold the shared values of ISS and our client, delivering consistently high standards of service.
Job Description
This position involves delivering a comprehensive Workplace Facilities Management service, with a strong emphasis on customer service and technical support across the client's UK offices.
It also requires a solid understanding and practical application of Facilities Management procedures and processes to ensure consistency, compliance, and overall service excellence.
Key Responsibilities
Support the Workplace Facilities Manager in daily operations and team coordination
Maintain workplace records, reports, and compliance documentation
Oversee cleaning, catering, and maintenance services to ensure smooth delivery
Manage data systems, monitor metrics, and generate performance reports
Track budgets, process invoices, and assist with expense reconciliation
Act as main contact for staff and contractors, coordinating service providers
Ensure compliance with H&S and ESG policies, supporting audits and sustainability initiatives
Professional and Personal Competencies/Qualifications
Experience in admin or coordination roles, ideally within facilities or workplace services
Strong Microsoft Office skills and familiarity with workplace management systems
Excellent organisation and multitasking abilities, able to manage competing demands
Confident communicator, both written and verbal
Understanding of health and safety reporting is beneficial
Accurate, detail-focused, and committed to compliance
Team player with a proactive approach to problem-solving and service delivery
