Overview of the job
The job holder will provide specialist administrative support to the Chaplaincy and Catering/PE HQ teams, in particular to underpin the Chaplaincy Assurance and Compliance visits, and the Catering/PE operational visits to each prison. The job holder will also provide specialist support in a number of other agreed areas to Chaplaincy HQ and the Catering/PE HQ team. The post is based in HQ and reports to Chaplaincy HQ Operational and Administrative Support Adviser, and then to Chaplaincy Policy and Operational Support Manager. The post has no line management responsibilities.
Summary
The job holder will be part of a small Chaplaincy HQ team, providing specialist support to both Chaplaincy HQ and the HQ Catering/PE team (both groups being part of Operation Services and Interventions Group (OSIG). The work will involve providing support to underpin the Chaplaincy Assurance and Compliance visits, and the Catering operational visits to each prison. This work will include maintaining information databases and sending out for information at key stages as well as tracking responses. The job holder will also provide specialist admin support in a number of other agreed areas to Chaplaincy HQ and the Catering/PE team including being the central point of contact for calls and correspondence for Catering/PE.
Responsibilities, Activities & Duties
You will be required to carry out the following responsibilities, activities and duties:
Chaplaincy HQ
To provide administrative support to underpin the annual Assurance and Compliance visits, and related work, undertaken by Chaplaincy HQ Advisers. This will include sending out pre and post visit paperwork, and ensuring actions by all parties taken within agreed time frames. The work will involve maintaining this information on a spreadsheet(s).
To collate and analyse Assurance and Compliance reports to identify trends, and flag up issues for further action and discussion
To oversee setting up of, and maintaining databases, e.g. for Managing Chaplains
To work with the Training Manager to send out pre‐course information, and to assist with the administration of ad hoc training events as required
Catering/PE
Provide a central point of contact for all calls and correspondence into the office for Catering & PE Services.
Manage the receipt, corporate style (not content), publication and filing of all operational visit reports. Register action plans and required dates for completion. Notifying establishments/ Regional offices of progress. Tracking of Action Plans generated from visits (chasing establishments, forwarding to RCM etc).
Catering/PE and Chaplaincy HQ
To provide secretariat and/or organisational support to meetings, including booking meeting rooms, notifying front desk of visitors etc. To request and collate Management Information (MI) for monthly OSIG meetings. Admin support for ad hoc events, training meetings etc. To consider and draft responses to correspondence as required.
Act as QPC including asset register and maintenance of equipment such as laptops, memory sticks, camera
To ensure Chaplaincy files on the shared drive are updated with Assurance and Compliance work, and other HQ documents as requested. To create new files as necessary. For Catering, to set up electronic filing system under HERM and be responsible for managing Head of Catering Service’s filing.
Providing support to the Chaplaincy HQ team and Head of Catering, as appropriate
