1. JOB DETAILS Job Title: MDT Co-ordinator Reports to: Patient Services Coordinator Accountable to: Business Manager Band: 4 Unit/Department: Centre for Neurosciences Directorate: Centre for Neurosciences Location : Leeds General Infirmary 2. JOB PURPOSE To be responsible for the collation, collection and inputting of the patient activity data required to monitor and quality assure services within the Neurosciences CSU. Also, to carry out all administrative duties, in relation to the Neurosciences Multi-Disciplinary Team Meetings (MDTs) and ensuring appropriate records are maintained. To prospectively track the patient pathway including monitoring BSR compliance. The post holder must demonstrate excellent communication and listening skills to keep all parties well informed of treatment plans and outcomes discussed at MDT. The post holder will manage their own workload, working closely with the medical secretary team and Patient Services Co-ordinator (PSC). Cross cover within the Directorate may be required. The post holder will work to standard operating procedures and departmental polices for some of their work however they must exercise initiative, independent judgement and be able to develop alternative plans in response to a changing situation on a regular basis. 3. JOB DIMENSIONS The Neurosciences Spinal Surgery and Neurosurgical surgical service comprises of 5 elective theatres and 1 acute theatre on the LGI site providing theatre capacity for adult and paediatric spinal surgery and adult cranial surgery. In addition to elective theatres at Chapel Allerton Hospital. There are up to 20 theatre lists running each week within the service. There are currently 25 consultant surgeons working within the service. The post holder will develop and maintain close working relationships with the surgeons, the wider directorate clinical teams, the neurosciences management team, the wider neurosciences administration team and external organisations. 4. CORE BEHAVIOURS AND SKILLS To have a strong working knowledge of the patient care process in hospital. Knowledge of medical terminology. Knowledge and experience of using MS Word and Excel, and systems and procedures for the collection and record of data. Knowledge of the timely way work needs to be done to meet the requirements of Neurosciences services. Knowledge of Trust policies regarding Data Protection and Security of Information, and the application of these in the workplace. Knowledge of data set requirements for Neurosciences services. Good working knowledge of the roles of other Waiting List Coordinators, to enable support and cross-cover arrangements in their absence. Strong interpersonal and communication skills to work effectively with members of the clinical teams treating spinal patients. The ability to accurately retrieve data from electronic and paper data sources and validate against other sources. Good keyboard skills accurate data input and typing. Excellent attention to detail. To prioritise workload and work to deadlines. The ability to process and check large sets of data, running quality checks to identify any gaps in individual patient records and ensuring all missing data is retrieved and entered into the database. The skills to have the flexibility and confidence to work independently unsupervised and on own initiative in departments and clinics across the two hospital sites. The ability to liaise with various specialist teams, clinical coders, medical records staff, pathologists, radiologists etc. both within LTHT and those in external organisations. The skills to ensure suitability and practicality of new computerised systems, evaluating them at the discretion of the management, and checking whether these meet the needs of collation and collection of minimum datasets. 9. CORE KNOWLEDGE AND UNDERSTANDING Knowledge and understanding of Leeds Teaching Hospitals Trust patient access policy Knowledge and understanding of Leeds Teaching Hospitals Trust theatre scheduling guidelines and policies Knowledge and understanding of a range of local standard operating procedures for theatre scheduling within Neurosciences. Knowledge of Trust-wide and local administrative systems including Patient Administration System (PAS), PPM+, OrderComms (ICE), Excel, Theatre Management System (TMS) 10. PRINCIPAL DUTIES & AREAS OF RESPONSIBILITY To provide administrative facilitation to MDT meetings, including preparing, organising, and circulating agendas/lists of patients for discussion, and ensuring MDTs run as smoothly as possible to reach their full potential in discussing all Neurosciences patients. This includes live secretary support to meeting and use of video conferencing and other IT equipment as required. To record attendance at, and apologies for, team meetings accurately and to circulate appropriately, to ensure compliance with spinal service standards. To provide general administrative duties to the MDT teams, to include photocopying, filing, basic clerical duties, distributing documents quickly and efficiently, and the collection of notes. To attend weekly MDT meetings and to keep a record of the outcome of each discussion. To use this information for minimum data set collection and waiting times. To be responsible for the efficient collection of surgery waiting times and minimum datasets, and entry of this information onto the database as required. To prepare regular reports to the spinal team on their performance in relation to national guidelines and take part in local and national audits as required. To represent the Trust, at local, regional, and national spinal surgery information meetings, to further the post holders development and enable accurate and detailed data collection. Work with information analysts to produce reports and validate data. Maintain good working relationships with Clinicians, Specialist Nurses, clerical and secretarial staff. Communicate with other MDT co-ordinators (inside and outside of the trust), waiting list co-ordinators, and Coding clerks. To update information on the British Spine Register if appropriate. To use knowledge and experience gained to assist in the training of newer members of the team. Work flexibly as part of a team. Health and Safety/Risk Management All staff are responsible for working with their colleagues to maintain and improve the quality of services provided to our patients and other service users. This includes complying at all times with the Leeds Teaching Hospitals NHS Trust Policies, including Health and Safety policies, in particular by following agreed safe working procedures, and reporting incidents using the Trust Incident Reporting system. Infection Control The jobholder must comply at all times with the Leeds Teaching Hospitals NHS Trust Infection Control policies, in particular by practising Universal Infection Control Precautions. Hand hygiene must be performed before and after contact with patients and their environment.
