Duties to include Arrange and administer Board, as well as regular PM and Financial meetings for the PCN, prepare agendas and ensure distribution of minutes/actions as necessary. The PCN Manager will also attend and participate in other organisational meetings as required. Providing administrative support to the Clinical Director. This will include managing their diary, booking meetings and organising emails/queries to support with the workload. They should keep the Clinical Director and PCN Board informed of any relevant updates from NHS England, the HCP and IC. Be responsible for managing the day to day financial flow for the PCN, ensuring that practices receive payments due in a timely manner. Providing invoice templates for PCN staff to claim associated costs and payments, collating invoices and submit a monthly spreadsheet to the Practice for payment. Support the PCN in implementing and managing any HCP/ICB initiatives Develop and manage an overall transformation plan for the PCN, including managing risk, considering the potential impacts on the organisation, and determining resource requirements. Use data to analyse and inform design of new PCN Collate feedback / analysis data on behalf of the PCN to report to the ICB and other organisations as required. Provide performance data for a range of PCN activities as required. Be responsible for a range of digital transformation initiatives for the PCN, managing priorities and inter-dependencies, working closely with the ICB digital team Improve adoption of new technology to enhance patient access and experience, increasing PCN productivity Ensure that digital and operational transformation is embedded and aligned with system and national strategies Review and improve the PCNs digital maturity, identifying opportunities for digital optimisation within the PCN Support the implementation of national and local initiatives, including integrated working at neighbourhood level to improve access to patient services Communication and Engagement: Make connections across the PCN to support learning between practices and sharing of best practices Identify best practices and learning from other areas that could apply to the local PCN and communicate this to the Board and PCN stafff. Ensure that any changes are aligned with agreed Board priorities and have ownership and engagement from clinical leaders and staff. Support practices to communicate changes and new processes effectively and consistently to patients. Build and maintain good working relationships with a broad range of internal and external stakeholders, including patients, other PCNs, HCP, ICB and wider Integrated Neighourhood Team colleagues Lead or participate in relevant working groups, project groups, service meetings and other forums across the PCN, HCP and INT level to agree on changes, share learning, discuss challenges, and resolves issues. Information and data management Bring together data from various sources and use information to develop insights into working practices, effectively tailoring content to meet the audience's needs. Effectively present and communicate data to the Board, member practices and PCN staff at all levels to increase understanding of operational challenges Help PCN and practice staff understand the limitations of particular data sets and where other information may be available to supplement understanding of issues Support and encourage a focus on data in understanding the effectiveness of changes made Other duties Support the Clinical Director and Board with ARRS and any other recruitment. Ensure contracts of employment are provided to all staff through their host employer and that all relevant employment legislation is followed. Support with the procurement and maintenance of equipment and supplies, smart cards, IT access etc to support PCN staff. Log any verbal or written complaints and work with the Clinical Director to process these in line with the national Complaints Policy. Support the Clinical Director to audit activity on Emis and produce reports for the PCN Board to review and improve the quality of care provision. Participate in a regular performance review with the Clinical Director. Communicate effectively with other team members, colleagues, patients and carers. This role will evolve to meet the changing needs of the service and the postholder should be prepared to undertake further training as required in order to fulfil the duties of this post. Governance Develop and review policies and procedures in relation to the PCN and ensure that all staff are kept informed about changes to these. Ensure own practice is in line with organisational policies and procedural guidelines. To ensure the safety of patients, relatives and colleagues and maintain a register of all incidents and near misses in line with the risk management policy. To support the Clinical Director and PCN Board by organising and minuting significant event meetings to discuss these. Be prepared to co-ordinate the services disaster recovery procedure as required. Ensure that patient identifiable information, laptops and smart cards are transported in line with the information governance policy. To keep up-to-date with mandatory training including safeguarding adults and children To maintain confidentiality at all times.
