We are looking for enthusiastic self-starters to provide direct Executive Assistant (EA) and administrative support to two Deputy Directors within the Department for Transport’s (DfT) Resilience, Aviation, International and Sanctions (RAIS) Directorate.

The RAIS Directorate is responsible for the Government’s work on resilience, analysis, international and sanctions across all of transport, and supporting its objectives to grow the economy, increase our global reach and impact, and improve the safety and security of the transport system.

The post holder will be part of a team of EAs who deliver high quality support to two Deputy Directors within the RAIS Directorate. The Directorate holds policy responsibility for a range of areas of RAIS that are, either a top Ministerial priority or provide essential evidence and advice to policy teams. There may also be the opportunity to assist with the wider work of the RAIS Directorate Support Team, which is responsible for the directorate finances, resource management and other corporate matters.

We are seeking talented individuals to take on the role of Executive Assistant to the team, who can confidently communicate at all levels with internal and external stakeholders, both verbally and in writing. With strong stakeholder management skills and building and maintaining high quality relationships, they will ideally have previous experience of working in a similar role and have a good understanding and working knowledge of Microsoft Office packages.

As part of the Directorate’s EA team, the post holder will have a number of key responsibilities, which will include, but will not be limited to:

  • Supporting the effective running of the Deputy Directors’ division as needed, for example, by drawing up draft agendas, minuting and tracking actions from internal team meetings.
  • Effectively and proactively managing the diaries for two Division’s Deputy Directors to reflect their ongoing priorities and preferences, with enough time for desk-time and breaks. Suggesting delegation of meetings where necessary.
  • Preparing meeting logistics and documents, including agendas and briefing material if needed, ensuring that Senior Civil Servants have the correct papers and information to effectively engage in their appointments.
  • Supporting Deputy Directors in managing their clearance of products and briefing, for example by working with policy teams to understand clearance deadlines and creating Microsoft Teams ‘Tasks’ for completion
  • Directorate wide focuses and tasks for colleagues outside your Division.
