Position: Booking and Team Coordinator
Location: Absolute Interpreting and Translations Ltd – Office-Based
Hours: Monday to Friday, 9am–6pm
Overview:
We are looking for a proactive, highly organised Booking and Team Coordinator to join our fast-paced office. This role involves efficiently managing contractor bookings, supervising a small team, and working closely with our HR and Resource Planning departments to ensure operational excellence.
Key Responsibilities:
• Manage incoming booking requests from clients and allocate jobs to suitable contractors/interpreters.
• Coordinate a minimum of 150–180 bookings per day, ensuring quality and speed.
• Supervise and support a small team, ensuring daily targets and performance standards are met.
• Collaborate closely with the HR Department to address staffing needs, onboarding, and contractor availability.
• Liaise with the Resource Planning Department to align resources with forecasted demand and ensure adequate interpreter coverage.
• Monitor team workload, performance, and provide guidance to improve efficiency.
• Respond promptly and professionally to emails, telephone calls, and portal requests from both clients and interpreters.
• Escalate complex booking or staffing issues to management with proposed solutions.
• Maintain accurate and up-to-date records in the booking system and internal databases.
• Uphold company procedures and confidentiality standards at all times.
Essential Skills and Qualifications:
• Previous experience in booking coordination, team supervision, or a similar administrative role.
• Ability to remain calm and professional under pressure and in fast-paced settings.
• Excellent organisational and multitasking abilities, with keen attention to detail.
• Exceptional verbal and written communication skills.
• Strong problem-solving mindset with a solution-focused approach to challenges.
• Reliable memory and ability to retain and apply key booking/client information.
• IT proficiency, especially in MS Outlook, databases, and web-based portals.
• Proven leadership skills and the ability to support and motivate team members.
• Commitment to meeting KPIs and working to tight deadlines.
• Must be able to provide two references from previous employers.
