Our service is expanding and we are entering an exciting period of change and development. We are therefore recruiting to a number of band 3 waiting list coordinator roles in our endoscopy admin team across the Leicester Hospitals including our Loughborough site.
The post holder will be responsible for agreeing booked dates with patients. You will be required to have previous experience of working in a busy office environment with an understanding of waiting lists and referral to treatment targets.
The nature of this post requires the post holder to have a high level of tact and diplomacy as well as strict adherence to the rules of confidentiality.
You will work collaboratively with admin colleagues, and the wider multidisciplinary team to provide a high standard of service and patient experience. Attention to detail and accurate data capture is paramount.

• To ensure that all endoscopy referral forms received are recorded onto the Patient Administration System within 24 hours.
• Arrange appointment dates with the patient in person, by telephone or by letter within specified timeframes.
• To be accountable for ensuring that the patients 18 week RTT are maintained and that all diagnostic timescales are met, including 2 week wait pathways.

Supervision
• Supervise band 2 endoscopy admin staff to ensure booking and admin tasks are completed accurately, in line with agreed processes and in a timely manner
• Allocate and distribute tasks to band 2 admin staff as appropriate
Co-ordinate/General
• Co-ordinate the cancer 2 week wait referrals using the agreed processes to appropriate hospital sites, recording activity as identified.
• Ensure that all patient referrals for endoscopy are added to the assigned waiting lists appropriately.
• Be the contact point for named clinicians in relation to booking/ list queries
• Be aware of the relevant case mix of patients for the different sessions when booking appointments to ensure all lists are fully utilised.
• Ensure emergency and non-routine demands for appointments are dealt with promptly and effectively.
• Change/bring forward appointments as necessary ensuring that all systems are updated accurately
• Provide an informative, accurate and courteous telephone enquiry service to health and social professionals.
Training
• To provide ongoing support/training of all colleagues in relation to departmental procedures, hospital systems and patient pathways.
Booking
• Contact patients to agree their admission date and time making sure treatment is within their 18 week pathway. Offering earlier dates when required in order to meet the 18 week deadline.
• Answer telephone enquiries in a polite and efficient manner, as necessary and within the booking guidelines and be flexible to provide a call-centre type service as appropriate.
• To liaise with nursing and admin staff regarding pre-op assessment dates for patients.
Data Quality
• To ensure that the data inputted onto PAS/SOLUS is correct and as complete as possible.
• To actively source missing data from the patient’s record on PAS/SOLUS, via such means as is necessary.
• Accurate RTT Management for deliverance of patient pathway and diagnostic targets.
• Validation of PTL/Data Quality reports as required
