Role: Food Bank Coordinator
Permanent: 16 hours per week
Reporting to: Food Bank Trustees
Base location: Homeworking/St George’s Church Hall, Hove East Sussex
Closing date 30th May 2025 1700hrs
Purpose of role:
We seek a permanent Food Bank Coordinator to oversee operations, lead volunteers, and ensure high standards in line with our values. This dynamic individual will help evolve our service to meet the complex needs of our clients.
Key areas of responsibility (Food Bank Co-ordinator):
Client Management
-Proactive management of new referrals and ongoing client support.
-Proactive communication with referrers and clients.
-Managing correspondence with all community partners and external agencies.
-To liaise with referral agencies regarding re-referrals and managing clients’ transition, to longer term support.
-To signpost resources for our clients beyond their need for emergency food support.
Networking
-Create and maintain a strong networking relationship with outreach agencies, such as the emergency food network, Money Advice Plus, BHESCo and Olio.
-To liaise with other local food projects, local Community groups such as the Hangleton and Knoll Project and local schools. This may include attending meetings and giving presentations where necessary.
Volunteer Coordination
-To coordinate the roles and responsibilities of the volunteers, during the food bank service.
-Monitoring available of food donations through Fareshare Go.
-To coordinate the volunteer rota to ensure the food bank has sufficient cover in all areas including a trained first aider.
-Tuesday evening food collections
-Collection from regular donation points
Wednesday client facing session
-To lead the recruitment of new volunteers and to ensure they complete the necessary induction process.
-To identify training needs for volunteers, making sure that key areas such as Food Hygiene, Manual Handling and Safeguarding are delivered to the appropriate individuals.
-To monitor health and safety and food hygiene practices and to maintain appropriate records. Liaising with external agencies where necessary.
-To facilitate a brief team meeting for food bank volunteers at the beginning of each food bank session.
-To communicate operational issues to your line manager as they arise.
-To ensure that the food bank is a safe place for all clients and volunteers and that safeguarding procedures are understood and implemented. Recording and reporting any concerns to the safeguarding officer.
-To manage and delegate responsibility to ensure adequate stock levels on a weekly basis to meet client needs.
-To regularly monitor all of the food bank social media sources to ensure the food bank ethos is maintained.
-To oversee any small projects that may arise from additional funding such as Christmas stockings and harvest festivals.
Operational
-To provide the trustees with regular reports and statistics on service demand, number of client visits etc. This should be reported to your line manager to be presented at the trustee meetings every 6 weeks.
-To update and maintain both client and volunteer files, ensuring confidentiality is always maintained under GDPR.
-To be responsible for the food bank credit card, keeping it safe and secure and using it appropriately. Providing all required documentation to the finance trustee.
-To be responsible for the allocated keys, phone and laptop. To report any issues to your line manager.

The ideal candidate should:
-Lead and work well with volunteers.
-Use their own initiative and be proactive
-Be self-motivated
-Have strong IT skills, including Word, Excel and Outlook
-Demonstrate strong organisational and time management skills
-Be an effective communicator Stay calm under pressure
-Be confident in managing conflict Be motivated to develop both themselves and the service we offer
-Work collaboratively
-Maintain confidentiality
-Be passionate about tackling food poverty and helping those in need
-Have an appreciation of the diverse needs and beliefs of our clients and volunteers
A satisfactory DBS check and references will be required once the successful candidate has been identified.
