Job Purpose
We are looking for a passionate and dedicated individual to join our team as the key lead for our 100 plus volunteers as a Volunteer Coordinator. You will oversee implementation of recommendations contained in our volunteering review undertaken by an external consultant in 2024.
In this pivotal role, you will be responsible for managing the full volunteer lifecycle from recruitment and training to policy development, performance support, and reward and recognition. Your work will be essential in driving our mission forward by involving volunteers and fostering a strong culture of community service and collaboration.
As Volunteer Coordinator, you will work closely with a diverse volunteer base, designing meaningful opportunities that increase engagement, satisfaction, and long-term retention. You will also play a key role in shaping internal systems and processes that ensure excellent volunteer experience.
You must be a confident communicator, highly organised, and naturally collaborative, with a genuine passion for volunteering and commitment for building positive relationships at all levels.

Key Responsibilities


Volunteer Recruitment and Training

1. Develop and implement inclusive recruitment strategies that attract a diverse pool of passionate volunteers with varying skills and lived experiences.
2. Lead the end-to-end volunteer recruitment process, including promotion of opportunities, screening, interviewing, and matching candidates to suitable roles based on their interests, availability, and skill sets.
3. Deliver engaging volunteer orientation sessions and provide ongoing training tailored to specific roles and projects, ensuring volunteers understand the organisation’s mission, values, safeguarding responsibilities, and expectations.
4. Maintain accurate and up-to-date volunteer records, including personal details, training completion, and hours logged, using an efficient volunteer management system or database.
5. Coordinate and manage volunteer scheduling across programmes and events to ensure appropriate coverage and representation.
6. Create and update volunteer training manuals and materials, incorporating feedback and best practices to maintain relevance and effectiveness.

Volunteer Management

1. Act as the primary point of contact for all volunteers, responding to inquiries, providing information, and addressing concerns in a timely and professional manner.
2. Provide regular supervision and check-ins, providing feedback and support to promote volunteer motivation, wellbeing, and performance.
3. Create clear communication channels (e.g. monthly newsletters, group chats, and
feedback surveys) to keep volunteers informed, connected, and engaged.
4. Develop and maintain comprehensive volunteer policies, procedures, and safeguarding practices that reflect legal requirements and sector best practices.
5. Monitor volunteer satisfaction and programme outcomes, using surveys, feedback
sessions, and reporting to evaluate effectiveness and inform strategic improvements.
6. Represent CAHN at community events, outreach activities, and networking forums to promote volunteering opportunities and grow the programme’s reach.
7. Stay abreast of relevant legislation, national standards, and trends in volunteering to ensure compliance and continual improvement.
8. Collaborate with internal teams to ensure volunteers are fully integrated into programmes and supported as valued team members.
9. Provide general operational and administrative support as required to ensure smooth delivery of volunteer-related activities.
10. Evaluate the effectiveness of the volunteer programme through regular data collection, impact analysis, and volunteer feedback.





Volunteer Engagement and Recognition

1. Create and implement a structured volunteer recognition framework that acknowledges and celebrates the contributions of volunteers through a variety of initiatives.
2. Collaborate with external partners (e.g., local councils, voluntary sector organisations, educational institutions) to build strong relationships and strengthen volunteer recruitment channels and expand outreach.
3. Build and maintain positive relationships with volunteers through regular engagement, inclusion in team activities, and opportunities for development.
4. Develop partnerships with local businesses, schools, universities, community groups, and faith-based organisations to expand recruitment opportunities.
5. Provide access to relevant training, upskilling workshops, or leadership roles within the volunteer programme.
