Summary

You would be working within the reception/admin teams helping to provide an effective and smooth-running service, assisting patients & visitors and carrying our general reception/admin tasks.

SUMMARY OF MAIN DUTIES AND RESPONSIBILITIES

1. Dealing with patient’s requests, both face to face and on the telephone.

(a) Arranging appointments for GP surgeries and Practice Nurse clinics.
(b) Taking and processing requests for home visits.
(c) Taking requests for and issuing repeat prescriptions.
(d) Answering general enquiries.
(e) Explaining surgery protocols.
(f) Taking messages for other members of staff/colleagues.

2. Organising patient records.

(a) Collating and sorting new patient medical records prior to summarising.
(b) Filing medical records as necessary.
(c) Scanning hospital results/letters into patient electronic medical records.

3. Carrying out routine administrative duties.

(a) Opening/securing GP consulting rooms after each surgery, ensuring rooms are tidy and all PCs are closed down correctly.
(b) Ensuring adequate stocks of stationery, leaflets and forms.
(c) Ensuring all post is despatched from surgery each night.
(d) Ensuring doctors rooms are supplied with adequate stationery/requisites

4. Other duties

(a) Following initial training, the use of computerised medical records.
(b) Entering relevant clinical data to patient’s computerised medical records.
(c) General responsibility for overall appearance of reception area.
(d) Making of refreshments (tea/coffee) as appropriate.
(e) Any other duties in keeping with the post.

Future Prospects: Possible job role at the end of the apprenticeship.

Qualifications: GCSE maths and English at Grade 4 or above or equivalent desirable

Desired Skills:
Experience of Microsoft Office
Experience in General Practice/NHS setting
Experience of Systmone computer system

Desired personal qualities:
Reliable/Good attendance record
Ability to work on own initiative and as part of a team
Ability to work with attention to detail and accuracy
Excellent communication skills (verbal & written)
Ability to work effectively in a busy environment.
Prepared to work overtime/flexible hours in accordance with the practice needs
Good sense of humour

Training provided: Delivery to be completed on site and off the job training either at Barnsley College or your place of work. Student to complete a Customer Service Practitioner Level 2

Working week: 30 Hours, Mon – Fri – 10 – 4 to be arranged.
