We are looking for proactive, organised and enthusiastic individuals to provide executive support to two Deputy Directors within the Aviation directorate and the Director within the Heathrow Expansion directorate. These roles are varied and cross cutting and will suit motivated individuals, who are natural collaborators and capable of problem solving and driving progress on a range of business management and corporate activities.


These roles will sit centrally within the Aviation Directorate Support Team, working as an active member of the PA network and building collaborative relationships with the wider business support team to ensure smooth operations across the directorate. The PA roles will sit under the Head of Director’s Office portfolio and report directly to the Senior Executive Assistant to Aviation Director, ensuring effective coordination and delivery of key business management and corporate activities.


The successful candidates will work closely with the Aviation and Heathrow Expansion Directorate Senior Management Team (SMT) and Aviation Directorate Support team to coordinate and deliver Directorate corporate responsibilities and functions. This will require individuals who have strong capabilities in communicating complex and, at times, sensitive information clearly to a range of audiences, including senior officials, and the ability to successfully secure outcomes from others even when they face competing priorities.

Responsibilities include but are not limited to

• Proactively managing multiple diaries for two Deputy Director’s or Heathrow Director, effectively dealing with diary clashes and reprioritising as necessary.
• Overseeing incoming emails, briefing papers etc and commissioning materials to wider teams as required.
• Arranging travel arrangements and processing expense claims.
• Working collaboratively with other Personal Assistants, providing cover as necessary.
• Supporting with minute-taking of meetings and opportunities for wider secretariat support.
• Supporting wider Directorate with IT support, including the focal point for each division and dealing with requests in a timely manner. You will also be expected to support with the on-boarding and off-boarding of colleagues, communicating with the Head of Office to ensure accurate workforce planning.
• Raising purchase orders and actioning invoices on behalf of divisions, working closely with the Finance Lead to ensure transactions are paid.
• Provide support and communication with the Local Recognition Awards, Thank You Vouchers and wider Aviation initiatives.
• Be point of contact for meeting room bookings, greeting visitors and ad-hoc admin duties across three office locations, working collaboratively with the wider support team to ensure these are communicated seamlessly.
• Support the Head of Office with other Aviation engagements and awaydays.
• Work collaboratively with the Aviation Directorate support team but also wider AMS business support teams to build strong relationships and share best practices.
