Brook Street (UK) Ltd have an exciting opportunity for an Executive Officer within the Communications Team for our leading Public Sector client Education Authority Northern Ireland, Belfast.

As a temporary Executive Officer, you will be responsible for the provision of diverse, confidential administrative support to the Communications Team.

JOB PURPOSE

The post-holder will also be required to work flexibly and collaboratively with other administrative staff within the office, for example in order to provide cover for periods of annual leave or to support the effective management of peaks in workload.

MAIN DUTIES AND RESPONSIBILITIES

Public Affairs and Engagement Manager

  • Providing a high quality, confidential administrative support service across a diverse range of areas.
  • Diary management including organising and prioritising diary commitments.
  • Organising meetings, including collating papers, briefing delegates, greeting and escorting visitors and making cost-effective travel arrangements.
  • Minute taking as required.
  • Answering and vetting all incoming calls, including media queries and whenever possible responding to callers directly by providing information or redirecting to an appropriate member of staff.
  • Logging, prioritising and tracking all correspondence from arrival, including high priority media queries - drafting responses where appropriate, redirecting to and following up on responses from other members of staff, updating senior staff and bringing important issues and target dates to their attention.
  • Typing, compiling, monitoring and issuing emails, letters, acknowledgements, minutes, memos and reports. Circulating documents and collating inputs from various sources into a co-ordinated response.
  • Using sources such as the intranet/internet, Hansard or press articles to research information.
  • Maintaining records, ensuring that information is recorded, stored, managed and disposed of appropriately and in line with relevant guidance.
  • Supporting the Communications Team in managing relationships with education stakeholders and business partners at a senior level.
  • Any other duties, related to the role, which may arise from time to time.
  • In addition to the above, the post-holder will, in accordance with Section 75 of the Northern Ireland Act (1998), be expected to promote Good Relations, Equality of Opportunity and pay due regard for Equality Legislation at all times.

GDPR duties and responsibilities are as follows:

  • Providing comprehensive admin support in line with GDPR requirements when for example organising meetings, receiving calls, emails and queries from staff, schools and all other stakeholders.

General Communications Department duties and responsibilities as follows:

Providing admin support for Communications Department-led events and assisting with set up where required.

  • Managing communications queries from staff, schools and media
  • Issuing media invitations and managing RSVPs
  • Responding to emailed media queries and issuing pre-approved response where appropriate
  • Conducting research
  • Uploading pre-approved content to the intranet
  • Managing public enquiry email account, responding where necessary and liaising with the relevant directorates to ensure all enquires receive a satisfactory and timely response.
  • Maintaining records, ensuring that information is recorded, stored, managed and disposed of appropriately and in line with relevant guidance.
  • Daily day-to-day management of the Communications office
  • Managing and ordering office supplies and resources via the Oracle system
  • Any other duties, related to the role, which may arise from time to time.
  • In addition to the above, the post-holder will, in accordance with Section 75 of the Northern Ireland Act (1998), be expected to promote Good Relations, Equality of Opportunity and pay due regard for Equality Legislation at all times.

Essential Criteria:

You will also have either an NVQ Level 3, BTEC National or two A levels or equivalent and a minimum of one year's experience in an office based administrative role.

  • Ability to organise a busy workload to deliver effective results on time
  • Supervision of administrative staff in the section including the management and allocation of duties.
  • Flexibility to meet changing demands as required and to priorities and delegate as required.
  • Ability to communicate and work effectively with others as part of a team
  • Ability to use own initiative to solve problems and respond to others
  • Ability to take a responsible and customer focused approach to work
  • Ability to lead and direct a team or provide specialist advice and guidance where required,

The rate of pay is £ 16.01 per hour, the hours of work are 36hrs Monday to Friday.
