Summary

Administrative Scheduler

Location: Based in Aspire’s Coatbridge office, with travel required to other service locations (access to your own car would be beneficial)

Salary: £12 per hour, rising to £12.60 per hour upon receiving Government funding (which will be backdated to 01/04/2025)

We are currently seeking a detail-oriented Administrative Scheduler to join our team. This role is crucial in ensuring smooth service delivery by managing staff schedules, facilitating communication, and supporting administrative operations within our health and social care personalisation services.

Key Responsibilities:

- Develop and maintain staff schedules to meet the needs of supported individuals while ensuring compliance with working time regulations.
- Communicate effectively with supported individuals, families, and support staff to arrange appointments and visits.
- Maintain accurate records of staff availability, leave requests, and shift changes.
- Ensure timely and clear communication of schedules to all relevant stakeholders.
- Work closely with service leads to resolve scheduling conflicts and ensure appropriate staffing levels.
- Handle incoming calls and inquiries efficiently.
- Support on-call requirements as needed.
- Assist with referral queries by understanding staffing capacity.
- Perform general administrative and office support tasks.

About You – Skills & Experience:

- Proven experience in scheduling or administrative roles, preferably within health and social care.
- Strong proficiency in scheduling software and Microsoft Office Suite (Word, Excel, Outlook).
- Excellent organisational skills with the ability to manage multiple priorities.
- Strong written and verbal communication skills to liaise with a diverse range of stakeholders.
- Ability to work independently and as part of a team.
- Strong problem-solving skills and adaptability to changing circumstances.
- Understanding of working time regulations and compliance requirements.
- Experience in maintaining accurate records and handling sensitive information confidentially.
